Print Forms W-2 Summary Report (U.S.) screen

Use the Print Forms W-2 Summary Report screen to generate a report that includes the number of Forms W-2 to be submitted as well as employer totals for the fields on your Forms W-2. This report serves two purposes:

  • To determine the number of Forms W-2 that you will need for your year-end activities.

  • To gather the information you need to manually complete your Form W-3. Form W-3 serves as a cover sheet when you submit paper copies of your Forms W-2 to the Social Security Administration (SSA).

    Note: The current version of ProContractor does not support printing Form W-3.
Note: The Print Forms W-2 Summary Report prints the state and local totals applicable to Copy A of Forms W-2 as required by the Social Security Administration. If an employee works in more than two states or localities, the state and local totals on the Forms W-2 Summary will not match the state totals and local totals on Copy 1 of the employee's Form W-2.

Viewpoint recommends that you use the Payroll Settings screen to close the last quarter of the tax year before preparing your Form W-3. Closing the last quarter of a tax year prevents payroll checks from being posted or voided in that year.

To open the Print Forms W-2 Summary Report screen, click Employees > Quarter and Year End > Print Forms W-2 Summary Report in the All Tasks pane.

You can control the output of the Print Forms W-2 Summary Report by entering details in one or more of the following fields on the Options tab:
  • Select Format - If you have modified the format and layout of this report on the Modify Reports screen, click to select the version to use for this report. If you haven't modified the report, this field doesn't appear.

  • Company - Click to select one or more companies for the report. This field is required.

  • Tax Year - Click to select the tax year for the report.

Tip: You can use the Modify Reports screen to customize the format and layout of this report.
Note: The Print Forms W-2 Summary Report screen is a step in the end-of-year payroll process. The next step can vary:
