Placing a Hold on an Invoice or Vendor

Placing a hold on a vendor account

This procedure explains how to place a hold on a vendor’s account. All invoices and credit memos going forward will be automatically put on hold.

  1. On the Site Map, click Accounts Payable > Maintenance > Vendor.

  2. Enter a Vendor and click the Properties option on the Vendor Info Bar.

  3. In the Invoice defaults section of the window, select the Payment hold check box. Selecting this check box will automatically place a hold on any invoices from this vendor. If sub-tier vendor tracking is being used, new invoices will be on hold whenever any related sub-tier vendors are flagged for hold status (triggered by action #3).

  4. Click Save.

Placing a hold on one invoice

This procedure explains how to place one invoice on hold after it has been entered and updated into Spectrum.

  1. On the Site Map, click Accounts Payable > Data Entry > Change Invoice Due Dates.

  2. Enter the Vendor, the type (Invoice or Credit memo).

  3. Enter the Invoice number (or click the window icon to search for all open invoices for this vendor.)

  4. Select the On hold check box.

  5. Press Save.

  6. Similarly, if you want to remove a hold for this vendor invoice only, manually clear the On hold payment check box.

Placing a group of invoices on hold

This procedure explains how to place a group of invoices on hold. This is handy if you would like to stop payment on all of one vendor’s invoices.

  1. On the Site Map, click Accounts Payable > Data Entry > Payment Processing.

  2. Click the Payment Selection button.

  3. Next, click the Hold button.

  4. Enter in the selection criteria of the invoices you would like to put on hold.

    TIP: Select the Include selected items check box if you would like to put the invoices previously selected on hold.

  5. Click Save and the Hold Items window will appear. All invoices and credit memos that appear here will be placed on hold.

    TIP: If there are items that you do not want to put on hold, useDelete mode to remove them from this screen.

  6. Click Save and the items selected will be placed on hold.

  7. Similarly, if you want to remove a hold for a group of invoices, follow this same procedure except select the Release hold check box.
