Use the Clearing Data File Format Maintenance screen to maintain file layouts of the ASCII files to be provided by the bank. The Clearing Data File Format Maintenance file contains information about which checks have been received by the bank.

Clearing Data File Format Maintenance

The Positive Pay File Maintenance screen is used if you provide your company's bank with an ASCII file of all Cash Management direct checks, Accounts Payable checks, and Payroll checks that are issued. This screen enables you to specify the structure of the export file, and define the electronic data that will be sent to the bank. The bank will then authorize payments only on those checks that match the information sent to them.

Use the Details tab to enter settings and defaults for the
      account.

New/Edit Account Details

Electronic payment processing requires certain banking information, and because this information varies by bank account, this screen is used to store this information.

The Data Entry menu is used to
      record invoices as they are received. Invoices can be tracked optionally through Unapproved
      Invoice Processing, and routed automatically to reviewers for approval. Options are available
      for correcting invoice entry errors. Typically, invoices are entered and updated, then later
      paid. In addition, credit memos, recurring invoices and subcontract progress billings can be
      created and processed. Payments can be made by issuing regular check or by manual or pre-paid
      checks. Issued checks may be voided.

Data Entry Overview

If an invoice is posted to G/L in July, reversal posts to G/L
        in Aug, when performing a reversal, you might find you don't have the option to
        automatically move both items to history. This is because a G/L transaction is required.
        Below is an example of the accounting process if the reversal performed manually in August
        for an invoice entered in July:

Automatic Invoicing (for Trimble Construction One Users)

If your company uses Microsoft Word, Excel, or PowerPoint, you can edit a VFP document (.docx, .pptx, or .xlsx) in Microsoft Office for the web. You won’t be able to open the document in Microsoft Office if it's an older version of office or if the document has custom mandatory fields with no values.

<body id="concept-8694"><main role="main"><article role="article" aria-labelledby="ariaid-title1"><h1 class="title topictitle1" id="ariaid-title1">Edit a Document Live in VFP</h1><div class="body conbody"><p class="shortdesc">If you use Microsoft Word, Excel, or PowerPoint, you can edit a VFP document (.docx, .pptx, or .xlsx) live in Microsoft Office for the web, allowing easy collaboration whilst retaining the control and governance of your workflow, permissions and security in VFP.  </p><section class="section"><h2 class="title sectiontitle">Enable Microsoft Office for the Web</h2><p class="p">When you first open a Microsoft Office document in VFP, <span class="ph">a user agreement message appears. Review the agreement and accept to proceed. If you decline the agreement, you cannot use the feature and the message will reappear if you try to use this feature again.</span></p><p class="p">When the user agreement has been accepted, the option to open a Microsoft document will be available from the drop down menu.</p></section><section class="section"><h2 class="title sectiontitle">Co-Authoring and Versions</h2><p class="p"><span class="ph">When you edit a document in Microsoft Office for the web, changes are saved automatically, and a new document revision is created once you close the editing session. More than one user can access the same document at the same time and make edits.</span> When each user closes the editing session, a new item revision will be added. <span class="ph">An audit is logged in the item's Activity Log for each user that opens the item. When each user closes the editing session after making a save, a new item revision will be added. </span></p></section><section class="section"><h2 class="title sectiontitle">File Types</h2><p class="p">If you upload an older file type to VFP (for example, .doc, .ppt, .xls), you  will not be able to edit them in Microsoft Office for the web. You won't see the option from the drop-down menu.</p></section><section class="section"><h2 class="title sectiontitle">Permissions</h2><p class="p">Permissions for Microsoft Office for the web are no different than the existing permissions for the current Live Revise process.</p></section><section class="section"><h2 class="title sectiontitle">Session Length</h2>
            
            <p class="p">The session length for Microsoft Office for the web is 60 minutes. After 50 minutes of inaction, you will receive a warning stating when your session will expire. Clicking <span class="ph uicontrol">Save and refresh</span> in the warning window will restart another 50 minutes. After 60 minutes of inaction, you will receive a warning that your session has ended. You will need to close the tab and restart the session.</p>

                                                  Construction One</span>, only the first two words of an employee's name, as

                    Maintenance</span> screen in <span class="keyword">Spectrum</span>, were migrated. As a result, for users who had a
                middle name (or middle initial) entered in <span class="keyword">Spectrum</span>, only their first and middle names would show in
                    <span class="keyword">Trimble
                                                  Construction One</span>. This has been corrected. An
                employee's full name, as entered in the <span class="ph uicontrol">Operator Maintenance</span> screen in
                    <span class="keyword">Spectrum</span>, will now be

            <p class="p">We continue to migrate customer organizations from AWS to Azure with little to no disruption to daily operations. </p>
            <p class="p">Placing our infrastructure onto Microsoft Azure lets us take advantage of Microsoft's significant cloud investments, such as collaboration, data processing and management, and security.             <p class="p">You now have an easy and efficient way to convert the payment method for vendors from electronic payments to paper checks, using a new screen dedicated to this purpose.</p>
            <p class="p">The Reset ePayments Vendor to Check screen lists all vendors currently set with a payment method of ePayments so you can choose which vendors you want to set with a payment method of check.</p>
            <p class="p">To visit this new screen, go to <span class="ph menucascade"><span class="ph uicontrol">Accounts Payable</span><abbr title="and then"> &gt; </abbr><span class="ph uicontrol">Utilities</span><abbr title="and then"> &gt; </abbr><span class="ph uicontrol">Reset ePayments Vendor to Check</span></span>.</p>

            <p class="p">For the accuracy of your 2022 EEO reporting, whose collection is slated to open in mid-July 2023, the EEO-1 Component 2 report now uses the updated salary bands as provided by the EEO Commission.</p>

            <p class="p">With this version, your Spectrum application no longer has the <span class="ph uicontrol">Reported Weather</span> section nor the <span class="ph uicontrol">Get Weather</span> button that used to be in the Daily Log screen (<span class="ph menucascade"><span class="ph uicontrol">Project Management</span><abbr title="and then"> &gt; </abbr><span class="ph uicontrol">Project Log</span><abbr title="and then"> &gt; </abbr><span class="ph uicontrol">Daily Log</span></span>).</p>
            <p class="p">However, this functionality is available in our other project management solutions, Team and ProjectSight.</p>
            <div class="p">These are unaffected by this change:<ul class="ul"><li class="li">historical weather data you've already imported will remain in the daily log records</li><li class="li">you can still enter observed weather information</li></ul></div>

            <p class="p">If your organization's license model is Named User License (NUL), the <span class="ph uicontrol">On Demand Usage</span> button in the Operator Maintenance screen - and the screen the button would launch - have both been removed in this version.</p>
            <p class="p">Since each license belonging to your organization is assigned to a specific user, the on-demand information provided by the screen isn't relevant or helpful to you.</p>
            <p class="p">For organizations whose license model is Concurrent User License (CUL), the button and the screen it launches remain, since it's meaningful to assess any license usage beyond the license count stipulated by their contract.</p>
