Allocate retro pay from history

Hours subject to retro pay

Based on the union / pay group code and date range specified in the Selections box, the number of regular, overtime, and double time hours that are subject to retro pay display.

While in the Details window, if you decided to make additional hours subject to retro pay, the other hours amount will be decreased (by the selected hours total, and the retro pay hours will be increased by the selected hours total). No entry is allowed.

Earnings subject to retro pay

Based on the union / pay group code and date range specified in the Selections box, the regular, overtime, and double time earnings that are subject to retro pay display.

While in the Details window, if you decided to make additional earnings subject to retro pay, the other earnings amount will be decreased (by the selected earnings total, and the retro pay earnings will be increased by the selected amounts). No entry is allowed.

Other hours

Based on the union / pay group code and date range specified in the Selections box, all of the other hours (such as SA, 1, 2, and so forth) that are subject to retro pay display. While in the Retro Pay Details window, if you cleared some of the retro pay hours that were originally checked, the other hours amount will be increased by the cleared amount. No entry is allowed.

Other earnings

Based on the union / pay group code and date range specified in the Selections box, all of the other earnings (such as SA, 1, 2, and so forth) that are subject to retro pay display. While in the Retro Pay Details window, if you cleared some of the lines that were subject to retro pay originally, the other earnings amount will be increased by the cleared amount. No entry is allowed.

Calculate retro pay

Work date

Enter the work date to be assigned to the retro pay (RP) lines when they are created.

Incremental retro pay rate

Enter the retro pay rate to be assigned to the retro pay (RP) lines when they are created. Rates can be recorded up to three decimal spaces ($XXX.XXX) and retro pay hours are rounded to one-tenth of an hour, as shown in the following example.

Example:

.75 X 1.26 hrs = .945

.95 (rounded .945) / .75 = 1.26666

These hours are then rounded up to 1.27.

After the retro pay for regular hours is entered, the overtime and double time retro pay rates will automatically be calculated at time-and-a-half and twice the regular rate, respectively. If necessary, you can overwrite these rates.

Retro pay earnings

After the retro pay rates are entered, the system calculates and displays the retro pay earnings to be paid. No entry is allowed. Note that retro pay hours are rounded to the nearest one-tenth of an hour.

Detail button

Clicking this button in Spectrum displays the Retro Pay Details window. The Details window shows all of the posted time card detail lines for this employee during the specified date range.

These transactions are display only, except for the retro column checkboxes. Check marks indicate that these lines were subject to retro pay (according to the data entered in the Selections box on the Automatic Retro Pay window; lines for other unions / pay groups will not be selected). You may select or clear these lines as needed, to indicate specific time card history lines applicable to retro pay.

  • If you have made changes, once you click the OK button the Automatic Retro Pay window reappears and shows the revised figures for the hours and earnings subject to retro pay.

  • If you click Cancel, any changes made in this window will be discarded and the Automatic Retro Pay window reappears as it did before you clicked the Details button.

  • If you click Preview, the system generates a report of time card history records shown in the Details window supporting the retro pay calculation. Review the Allocate Retro Pay report.
