Fill Out Your Daily Log

The Daily Report allows users to easily capture activities on the job site for a specific date.

Getting Started

This module supports user-defined fields and user-defined tabs. Any lookups added in Vista will are available on this form, allowing you to transform the Vista Daily Report into a company-specific form that works right out of the box. To create a daily Report:

  1. Select a job from the job drop-down. The last job you used is selected automatically.
  2. Select the Date you wish to enter your daily report for.
  3. Select Continue.

Info

The Info tab lists the weather, attachments, and any additional notes about activities at the job site.

  • View PDF: click this button to download a PDF of the Daily Report.
  • Copy: click the copy Button to copy or clone a previous Daily Report. When you copy a Daily Report, make sure to update the fields that have changed with the correct information.
  • Submit: allows you to submit and lock changes to Daily Reports. See Portal Setting Enable Daily Report Submission Feature (Requires UD Field Setup).
  • Weather Sync: if your mailing Zip code and Country have been set up on the PM Projects Additional Info tab, then you will be able to pull in the weather information right into your Daily Report by clicking the green cloud button. The blue cloud button will open a new tab to weather.com using the zip code on file so you can view that jobs weather report.
    Note: If your Company is set to Australia or Canada (set in portal setting Country Code for date format) this feature is not currently available.
  • Attachments: add attachments to your daily report. You can add a file/picture right from your phone or computer.

Employees

On the Employees tab, you will see a screen similar to the one shown below. Use this tab to track employees who worked at the job site.

Note: If you have turned on the setting Include Timecard Section on Daily Report Log, you may decide to hide this tab.

  • Contact Code: select an employee from PM Firm Contacts. You will need your companies set up in PM Firms, your employees set up in PM Firm Contacts, and you will need to make sure that you have the Our Firm field on PM Company Parameters filled out. It will also help to have your Project Our Firm field on the PM Projects > PM Info tab filled in.
    Note: The PM Firm Contacts number may not be the same as the PR Employee Number. Also, this does not enter time into PR Timecard Entry.
  • Location: select the specific job site location where the employee worked.
  • Time: enter the time that the employee started (Arrive Time) and ended (Depart Time) work at the job site.
  • Phase: select the job phase.
  • Description: describe the tasks that the employee performed.

Subcontractors

On the Subcontractors tab, you will see a screen similar to the one shown below. Use this tab to track subcontractors that were at the job site.

  • Firm Name: bclick this drop-down to select a firm from PM Firms assigned to this job.
  • Firm Contract, Phase, and Earn Code: click the drop-down to make selections for these fields.
  • Hours Worked: enter the hours worked by this subcontractor.
  • Delete Subcontractor: click the red trashcan icon will delete the subcontractor.
  • Add Subcontractor: if you would like to add more than one subcontractor to the Daily Report, just click theAdd Subcontractor button.

Visitors

On the Visitors tab, you will see a screen similar to the one shown below. Use this tab to track visitors to the job site.

  • Visitor: enter the name of any visitors to the job site.
  • Description: list what the visitor did during the visit.
  • Time: enter the time that the visitor arrived at and departed from the job site.
  • Location: select a specific job site location for the visitor. By clicking on the blue gear button, you will be able to add a new location on the job.

Conversations

On the Conversations tab, you will see a screen similar to the one shown below. Use this tab to track conversations that you had with any other firms at the job site.

  • Firm Number: click this drop-down to select a firm from PM Firms assigned to this job.
  • Contact Code: select the contact from PM Firm Contacts.
  • Description: write a description of the conversations.

Deliveries

On the Material Deliveries tab, you will see a screen similar to the one shown below. Use this tab to track purchase orders and materials delivered to the job site.

  • Del Ticket: enter the delivery ticket number.
  • Receiving Type: select purchase orders or material.
  • PO MO: look up the open Purchase Order that is related to the material received.
  • Item: select the material you received from HQ Materials.
  • Units: enter the number of units received.

Equipment

On the Equipment tab, you will see a screen similar to the one shown below. Use this tab to track equipment usage at the job site.

  • Equipment: enter the equipment name or number (from EM Equipment) to look up and select equipment used at the job site.
  • Firm Number: click this drop-down to select a firm from PM Firms assigned to this job.
  • Quantity: enter the amount used for the equipment.
  • Location: select the specific job site location where the equipment was used.
  • UM: select the Unit Of Measure for the equipment from HQ Units of Measure.
  • Description: describe how the equipment was used.

Activity

On the Activity tab, you will see a screen similar to the one shown below. Use this tab to track activities that occurred at the job site.

  • Description: describe the activity that took place.
  • Location: select where the activity took place.

Custom Fields

You can add any number of custom fields and custom tabs to the Daily Report starting with Version 1.11 of the portal. In order for a custom tab to appear in Daily Reports, it will need to be listed in the “Daily Report Customize Tab” portal setting. The order that ud fields will show in the portal can be set by the input order in Vista.
