Set up a Project Communication Plan

Set up the communication plan for a project to configure how email notifications are sent to users, organizations, or packages when tasks are issued or completed.

  1. Confirm that the correct business unit is selected in the Current Business Is field, and that no project is selected in the Current Project Is field.
  2. From the Project Setup menu, select Communication > Communication Plan to open the Communication Plan page.
  3. Click one of the following four tabs to configure communication.

    My Communication Plan Displays details of the user who is logged in. The settings on this tab apply only to this user.
    People Displays all users assigned to the project. Use this tab to determine what notifications each user will receive.
    Organisations Displays all organisations assigned to the project. Use this tab to determine what notifications each of the project organizations will receive.
    Packages Displays all packages assigned to the project. Use this tab to determine what notifications each of the project packages will receive.
    Note that the left pane displays the name and email for each contact (user, organisation, or package), and the right pane displays a column for each action that will trigger an email to the selected contact.
  4. For a project contact (user, organisation, or package) select the following check boxes to determine what email notifications will be sent.
    New Task Comments Issued By And To
    If a task Issued By (that is, created by) the contact and Issued To (that is, assigned to) the contact has a new comment added to it, the contact receives a Task Report.
    New Tasks Issued By
    If a new task is issued by (that is, created by) the contact, the contact receives a Task Report.
    New Tasks Issued To
    If a new task is issued to (that is, assigned to) the contact, the contact receives a Task Report.
    Recently Closed Tasks Issued By
    If a task issued by (that is, created by) the contact is updated as Closed, the contact receives a Task Report.
    Recently Closed Tasks Issued by Me
    If a task issued by (that is, created by) the logged on user is updated as Closed, the selected contact receives a Task Report.
    Recently Closed Tasks Issued To
    If a task issued to (that is, assigned to) the contact is updated as Closed, the contact receives a Task Report.
    Recently Completed Tasks Issued By
    If a task issued by (that is, created by) the contact is updated as Completed, the user receives a Task Report.
    Recently Completed Tasks Issued By Me
    If a task issued by (that is, created by) the logged on user is updated as Completed, the selected contact receives a Task Report.
    Recently Completed Tasks Issued To
    If a task issued to (that is, assigned to) the contact is updated as Completed, the contact receives a Task Report.
