How Active HR Management Users are Counted

Active users of HR Management have access to at least one Self Service option (HR Timecard, HR Grid Time, Earn, Personal, or Training Class Instructor), Time Off, or the Expense module (Expense Reports), or have access to the HR Timecard through Field Service.

Watch how active HR Management users are counted.

Find User Counts

If active user counts are higher than the number of licensed users, you can adjust user access to modules. The Portal Settings page (Admin > Portal Settings > Portal Info) shows a current count of active users. Users who have been given access to the HR Timecard through Field Service are included in the HR Management user count.

Review or Adjust User Counts

To review or adjust HR Management user counts, select Admin > User Access. Available options:

  • Self Service: HR Timecard, HR Grid Time, Earn, Personal, or Training Class Instructor.
  • Time Off: Time Off.
  • Expense: Expense Reports.
  • Purchase Orders: Create PO, PO Requisition, PO Receiving, Quick PO, Pending PO, or Create MO.
Employees who have a check box next to their name for at least one Self Service option, Time Off, or Expense Reports will be counted as an active HR Management user. If the active HR Management user count is higher than you expect, you can deselect check boxes for employees who should not have access to HR Management modules or to the HR Timecard in Field Service, if applicable.
