Job Requisition Detail Fields

The following table provides descriptions for the fields shown on the Job Requisition Detail page. This page can be accessed by Onboarding / ATS Admins, recruiting managers, and recruiters (for their assigned jobs only).

Access this page by selecting Employee Tools > Job Requisitions. For help setting up job requisitions, see Create a Job Requisition.

Field Details
Applicant Stage Use this field to filter your grid view to a specific stage. Stages are set per job category in the Hiring Process Builder.
Search Use this field to filter your grid view by any of the fields currently showing on the page.
New Applicant Recruiters can start applications by selecting New Applicant and then, in the pop-up window, Start on Device. After the application is complete, the recruiter has the option to return to the Job Requisition Detail page or the external job posting site.
Note: In the Initialize New Applicant pop-up window, the Invite with PIN button displays only if the portal setting Show "Invite with a Pin" for new applicants is enabled under Admin > Portal Settings > Onboarding / ATS > ATS. A PIN is generated and displayed for the recruiter to give to the applicant. This allows the applicant to apply to jobs that may not be available for online applications. The applicant would then selectHave a PIN? for the Job that the PIN was generated for, enter the PIN, and complete the application.
Grid Layout Allows you to save the current grid layout or reset the grid to the default layout.
Bulk Action Allows you to perform any of the following actions for applicants selected in the grid:
  • Bulk Email: Send a new unique email or an email from the Email Templates page to all selected applicants who have an email entered in the personal information section of the application.
  • Bulk Change Stage: Modify the stage all selected applicants are on. Stages are assigned by the Job Category.
  • Bulk Move Req: Move all selected applicants from this job requisition to another one.
  • Bulk Disqualify Candidates: Bulk disqualify all selected applicants and move them to the Disqualified stage. This stage is not created in the Hiring Process Builder.
Edit Req Details Allows you to modify external details fields for the job requisition.
Copy Link Allows you to obtain and copy the link to the external posting page for this job requisition.
Reports Use this button to export the following reports to Excel:
  • Demographics: Available to Onboarding admins and recruiting managers only. This report shows applicant voluntary self-identification (gender, race, veteran status).
  • Active Status Summary: Summarizes active candidates and their application's current stage.
  • Sourcing: Lists sources that applicants used to apply to job requisitions.
  • Offer to Hire: Lists the applicants who reached the Conditional Offer Stage of the application process, applicants who were hired, and, if applicable, disqualification reasons.
  • Time to Hire: Shows number of days from application submission to hire date per candidate and an overall average days to hire.
View in JobTarget Opens the job requisition in JobTarget where you can see a list of applicants and edit or stop the job posting directly from the JobTarget application.
Note: This button is available only to customers who have configured JobTarget settings. JobTarget customers can also add a Source column to the grid to quickly view and sort by job requisitions posted in JobTarget. For more information about JobTarget services, see JobTarget Integration.
Recruiter Actions Allows you to perform any of the following actions for applicants selected in the grid:
  • Change Stage: Modify the hiring stage for the selected applicant. Stages are assigned by Job Category.
  • Email Applicant: Send the applicant a unique email or use an email template.
  • Email Recruiter: Email recruiters assigned to this job.
  • Add / View Notes: See all notes added to this applicant as well as add additional notes.
  • Add / View Ratings: See all ratings from all recruiters assigned to this job requisition or add ratings for logged in recruiter.
    Note: Recruiters can all ratings but can only edit their own.
  • Print Application: Print a .pdf of compiled forms and attachments submitted by the applicant.
  • Disqualify Applicant:Move the applicant to the Disqualified stage. This stage is not created in the Hiring Process Builder. Select a Disqualification Reason in the pop-up window.
  • Move to Req: Removes the applicant from current job requisition to the selected job requisition.
  • Copy to Req:: Copy the applicant to the selected job requisition.
  • Applicant History: Provides details on the candidate's previous application history, application date, and all recruiter actions, including emails.
  • Delete Applicant: Deletes applicant from job requisition.
Full Name This column allows recruiters to review an applicant's details. Select the applicant's name or the Open in New Tab button next to the applicant's name to view applicant details. This is also the only place where recruiters can change an applicant's stage (created in the Hiring Process Builder).
Note: If the Open in New Tab button does not display, reset the grid layout by selecting the Grid Layout button and then selecting Reset Grid Layout.
Applicant Source Displays only if portal setting Contact Source Combo Box from Vista is entered under Admin > Portal Settings > Onboarding / ATS > ATS. This allows the applicant to select from a dropdown titled How did you hear about us. The dropdown is populated by a combo box created in VA Custom Fields in Vista.
Source Shows the source that the applicant used to apply for the job. For example: JobBoard or JobTarget via LinkedIn for customers using the JobTarget integration.
