Link Time Off Requests to HR Resources

The Time Off module does not update Vista. However, you can keep a history of time off requests in the HR Resource Schedule.

You can do this by setting up a schedule code (Code Type C) in HR Codes in Vista for leave codes that you allow users to request time off for in the portal.

You must be a System Admin and have access to HR Codes in Vista to complete this configuration.

  1. In Vista, select Human Resources > Programs > HR Codes.
  2. For each leave code to show in the portal, set up a schedule code (Code Type C).
    Note: You do not need to complete this setup for leave codes that show in Time Off but that do not allow time off requests.
    1. Select the Leave Type checkbox.
    2. Enter the corresponding PR Leave Code (one schedule code per leave code).
    Note: If your Payroll Company and HR Company are different (for example, you have three different PR Companies under one HR Company), the portal will be able to add the schedule code as long as the leave codes assigned to it match those assigned to the users in the PR Company. If the PR Company that matches the HR Company does not have the same leave codes, you can add them to that PR Company solely for the purpose of adding the schedule codes without assigning them to any employees.
  3. In HR Management, select Admin > Portal Settings > Time-Off.
  4. Expand the Vista Configuration section.
    1. To update your HR Resource Schedule after the time off request has been approved (or rejected or cancelled), enable the portal setting Push Pending Requests to HR Resource Schedule.
      This will add the pending time off request as new in HR Resources.
    2. To update your HR Resource Schedule after the user submits a time off request, enable the portal setting Push Pending Requests to HR Resource Schedule.
      This adds the pending time off request as new in HR Resources.
    3. Requests cancelled in the portal remain in the HR Resource Schedule with the status of Cancelled. If you would rather have the request deleted from the HR Resource Schedule, select Remove From Resource Schedule in the portal setting Delete HR Resource Schedule or upstate status when Vacation Request is cancelled.
    4. If you want users and those approving to see collective projected time (time still pending approval will be added into projected time available), enable the portal setting Include Pending Requests in Planned Use Calculation.
      Note: This feature only works if you have also enabled Push Pending Requests to HR Resource Schedule.
This configuration affects new time off requests only. Previous time off requests made through the Time Off module will not be added to HR Resources.
