Compatibility With Vista

The 24.6 version of the web portal is compatible with the following versions of Vista:
  • Vista 2024 R1 (coming soon)
  • Vista 2023 R2
  • Vista 2023 R1

Release Highlights

This release includes the following new enhancements. For more details, see the individual release highlights sections that follow.

  • New integration with Fiddletree Systems: Authorize a new hire's employment eligibility with Fiddletree E-Verify: Fiddletree's E-Verify integration with HR Management simplifies the onboarding process by authorizing a new hire's I-9 form and verifying eligibility for employment. See the HR Management Highlights Onboarding section for details.

  • Set up a state withholding tax form for users to complete as a fillable PDF: Admins can now set up a state withholding tax form that users can access from the Update Info page in the portal. See the HR Management Highlights Document Library section for details.

  • Create Action Item templates using fillable PDFs: Admins can now upload fillable PDFs to use in Action Item templates. Users then enter their information directly into the PDF form when completing the Action Item. See the HR Management Highlights Action Items section for details.

Important: Upcoming removal of the Classic Billing Compiler

The Classic Billing Compiler will be removed in August 2024, replaced by the Next Gen Billing Compiler. To learn more, see How to Use the Next Gen Billing Compiler.

HR Management Highlights

The following enhancements and customer suggestions were added in this release.

  • Action Items

    • New! Create Action Item templates using fillable PDFs: Action Item Admins can now upload fillable PDFs to use in Action Item templates. After adding a PDF to a template, you cannot add header fields or custom report RDL files.

Users enter their information directly into the PDF form when completing an Action Item that uses a fillable PDF.

For more information about setting up Action Item templates with fillable PDFs, see Manage Action Item Templates.

  • Document Library

    • New! Set up a state withholding tax form for users to complete as a fillable PDF: You can now upload a state withholding form as a fillable PDF in the Document Dashboard. If you choose not to use this option, you can still set up state withholding forms as standard documents without uploading the forms as fillable PDFs.

For details about adding a state withholding form, see Create a State Withholding Form.

Employees will then be able to update state withholdings using this form by going to Employee Tools > Update Info > Manage your Payroll Withholdings and selecting Update Withholdings. On this page, state withholding fields are read-only when the withholding form is available to complete as a fillable PDF.

Note: The review and approval process for state withholding updates is unchanged. However, at this time, employees will not receive confirmation emails when they submit changes. Emails will still notify Admins of changes to review.
  • Expenses

    • New! Disable an expense receipt description if a credit card is linked: If the new portal setting Disable Expense Receipt Description if Credit Card is linked is enabled, when a credit card transaction is linked in an expense receipt, the current receipt description will be added to the receipt Note field and the Receipt Description field will automatically fill with the credit card transaction description.

Setting location: Admin > Portal Settings > Expense > Credit Card.

    • Improved performance of the Expense Posting Dashboard grid:

      • Any expense items you select in the Expense Posting Dashboard grid now remain selected, even when you return to the grid after editing an expense item.
      • The Expense Posting Dashboard now retains changes to the grid layout, maintaining your column order, size, and additional custom filters.

Note: This feature was added in an update after release 24.4+.

As a result of this update, your grid may have been reset, making hidden columns visible. You may need to reformat your grid.

  • Onboarding

    • New! Authorize a new hire's employment eligibility with Fiddletree E-Verify: With the integration between Fiddletree Systems and HR Management, you can quickly verify a new hire's eligibility for employment from the Onboarding Details page. If the verification comes back successful, a PDF confirming the verification attaches to the new hire's onboarding details in the portal. After initializing the employee to Vista, a PDF copy of the verification also attaches to the new hire's record in Vista (either HR Resources or PR Employee depending on your organization's preferences selected in the portal settings).

For more information, see Fiddletree E-Verify Integration.

  • Timecards

    • Improved performance of the timecard report export: On the Timecard Dashboard, when exporting large reports, it is recommended that you generate the report in the background. Now when you select either of the Export Submitted Timecards options, if there are more than 100 submitted timecards in the report, the following happens:

      1. On the Export Timecard modal, the checkbox For large exports, generate report in background and email to is automatically selected.

      2. After you select Export, the report generates in the background and is automatically emailed to the address listed on the modal.
    • Improved user experience of the Timecard Dashboard: Informational pop-up windows now provide additional context to help you understand the values and icons in the following columns on the Timecard Dashboard: Allow Entry, Approved, Job Approval, and Leave Audit.

Additionally, you can now create a custom filter to search text in the Approval Notes column. For more information, see Timecard Dashboard.

      Tip: Working with the grid:

To filter, sort, add, or remove grid columns, select the Column Settings button in the column header, then choose an option from the submenu.

To sort more than one grid column at the same time, hold Ctrl while selecting the headers of the columns you want to sort.

For more detailed explanations of working with the grid, see Manage Grid Layouts.

Field Management Highlights

The following enhancements and customer suggestions were added in this release.

  • Field Management Mobile

    • Update! Enter production units for cost types specified in the portal: The mobile application respects the Phase Flag for the Phase Cost Types assigned to a job in Vista (PM Phase Cost Type Settings), which allows users to enter production units based on your Phase Cost Type configuration in Vista instead of the portal.

When the new portal setting Mobile production cost types respect phase unit flag is enabled, cost types for mobile production can be customized per phase using the Vista PM Phase Cost Type Settings program. Production units will be added to cost types with the Phase Flag checked within the program. If no cost types have been flagged, production units default to being added under the Cost Type for Production Update portal setting.

When Mobile production cost types respect phase unit flag is disabled, users can enter production units only for the cost type specified in the portal setting Cost Type for Production.

Setting location: Admin > Portal Settings > Field Management Mobile > General Configuration. For more information, see Configure Field Management Mobile.

Note: This feature will be delivered with the web portal update. No mobile application update is required.
  • Field Ticket Dashboard & Daily Reports (Legacy)

    • Improved file download: For PDF and Zip file downloads, when you download six or more Daily Reports (Legacy) or records, the download process will occur in the background. When the process is complete you will receive an email with the file links.

For five or less records, the download process has not changed. Files will immediately be downloaded to your drive.

Financial Controls Highlights

The following enhancements and customer suggestions were added in this release.

  • Billing Compiler

    • Improved sort for the Billing Compiler Next Gen: Previously the Billing Compiler sorted by the Sort by field options: Bill Group or Contract Item. Now the Billing Compiler groups items by Bill Group or Contract Item then honors the selection you make in the Additional sort field. Attachments are sorted by Default, Date, Month, Phase, or Vendor Name.

Important: Upcoming removal of the Classic Billing Compiler

The Classic Billing Compiler will be removed in August 2024, replaced by the Next Gen Billing Compiler, which has all of the same functionalities. To learn more, see How to Use the Next Gen Billing Compiler.

  • Invoice Review

    • Reverted styling for the PDF viewer: The PDF viewer has been reverted to a previous version to create a better mobile application experience in AP Invoice Review.

    • Enhanced Line Type 7 (SL) fields: When you create a new Line Type 7 (SL) with a value, the Current Amount field displays. After you save the line item with a value, a Balance field also displays. Previously, these fields were only displayed when you edited a Line Type 7 (SL) item.

Field Service Highlights

  • Technicians can only collect signatures for Work Orders accessed from the Work Order Dashboard. Collecting signatures is not available for Work Orders accessed from the Service Manager Dashboard.
