RFI Fields

The request for information fields contain the details of the RFI, including what is needed, who is completing the information, and when it is due.

Field Description
Type Select the RFI type from the list to be able to sort and filter by type later. Depending on the project settings, The type may default and/or the To field may be filled in automatically based on the RFI type.
Number (Required) Enter a unique identifier for the RFI. Depending on the project settings, the RFI number may generate automatically.
To Select the person to whom you want to send the RFI. This person is the primary responder to the RFI. Depending on the project settings, this field may default based on the selected RFI type.

To filter the list of contacts:

  • Enter the first few letters of the contact's name to filter the list.
  • Select Team Contacts to filter the list to contacts in your enterprise.
  • Select PM Firm/Spectrum Contacts to filter the list to just contacts from your ERP system.

To add a Team user (someone who has a Team user account), enter the full email address associated with that user. Note this is not required if your enterprise is configured to limit contacts to Vista PM firms.

To add a new contact, select New Contact.

Additional Responders Select any additional responders that you want to add to the RFI. Note that when an additional responder responds, it does not change the state of the RFI. Only the primary responder can change the state of the RFI.

  • Select Team Contacts to filter the list to contacts in your enterprise.
  • Select PM Firm/Spectrum Contacts to filter the list to just contacts from your ERP system.

To add a new contact, select New Contact.

Subject (Required) Enter the subject for the RFI, up to 60 characters.
Question Enter the question you want answered by this RFI. Provide as much detail as you can.
Suggestion Enter any suggestions you have about possible answers to the RFI.
Spec Section Enter the first few characters of specification section related to the RFI and select it from the list. To add a new section, enter the complete specification section up to 20 characters and click New Spec Section.
Drawing Ref Enter any notes you wish to add regarding related drawings.
From Defaults to the person who created the RFI. If needed, select the contact who needs the RFI answered.

CC Select the names of contacts to be copied on the RFI. Contacts who are copied will be able to view the RFI, receive notifications, and add comments.

  • Select Team Contacts to filter the list to contacts in your enterprise.
  • Select PM Firm/Spectrum Contacts to filter the list to just contacts from your ERP system.

To add a new contact, select New Contact.

To remove a contact from the CC list, click next to the contact.

Priority Select the option for the priority of the RFI.
  • Low
  • Medium
  • High

Depending on the project settings, the priority may determine the default due date.

Due By Enter the date you want a response to this RFI. This date defaults based on the project settings and may be determined by the priority.
Status Select the status of the RFI.
Reference Enter reference information for the RFI.
Change Impact - Schedule Select the check box to indicate that the project schedule could be impacted by the information in the RFI or change made due to the RFI.

When you select the check box, two fields appears. In the first field, enter the number of days by which the schedule is impacted. In the second field, enter additional information about why this area could be impacted, up to 60 characters.

Change Impact - Cost Select the check box to indicate that the project cost could be impacted by the information in the RFI or change made due to the RFI.

Change Impact - Drawing Select the check box to indicate that the project drawings could be impacted by the information in the RFI or change made due to the RFI.
Internal Note Enter any notes about the RFI.
Notify Recipients (Available once a work item has been created, and enabled by default.) If you do not wish to send email notifications to the reviewer and those included in the CC field, you can clear the Notify Recipients checkbox.
