Set RFI Defaults for a Project

You can set default values for RFIs for a project to help you and your collaborators select the right details when creating RFIs. All collaborators can override defaults on individual RFIs.

You must add contacts to a project before you can set the default recipient for RFIs.
You can set the following:
  • The default recipient based on the RFI type.
  • The default number of days to respond to an RFI or override the default based on priority.
  • The default RFI type for RFIs created by a collaborator.

You can also select the option to have RFI numbers automatically generated from this screen. See Automatically Number RFIs for a Project.

  1. From the home page, under Projects, select the name of the project you want to open.
    Alternatively, go to the main menu in the upper left-hand corner, select Projects, and then select the name of the project you want to open.
    The Dashboard for the project appears.
  2. Click and select Project Settings.
  3. Click on the RFIs tab.
  4. In the Default To: by RFI Type area, select the default recipient or group for each RFI type.
    Note: Distribution groups are not available for this option.
  5. Set the default days to respond to an RFI.
    1. Select the Enable Default Days to Respond check box to have Viewpoint Team™ automatically calculate the due date.
    2. In the General Default field, enter the default number of days to respond to an RFI.
    3. To override the general default based on priority, use the Low, Medium, or High priority fields to enter the default number of days to respond to an RFI.
  6. In the Standard Distribution Language section, you can add text to be added to all email notifications or generated PDFs when the RFI is marked as Answered or Closed.
  7. In the Restrict Role: By Request For Info Type section, you can restrict a project role to an RFI type and change the access level for that role.
    Note: By restricting a role to an RFI type and setting the access level, you can both prevent that role from having access to any other RFI type, and also give that role greater permissions for that specific RFI type than the role would have by default.
    1. Click the plus sign .
    2. From the drop-down menus, select a Role, Request For Info Type, and corresponding Access level.
    In the following example, the Subcontractor role is configured to view and create all RFIs with the "Elec" type. This also means Subcontractors cannot view or create any other RFI type. In the same example, the Architect role is configured to view all RFIs with the "Design" type and, likewise, cannot view any other RFI type.

    Note that, for the specified RFI types, these settings increase the RFI permissions for both the Subcontractor and Architect roles.

  9. Click Save Changes.
The default RFI settings for this project are updated.
