What's New in 2024 R4

What's New lists the enhancements and changes made in the 24.4 release. This release is available the week of 4/15/2024. The Field Management Mobile application is available to download 24 to 48 hours following the release date.

Customers hosted in a Viewpoint for Cloud™ solution receive the latest update automatically. For customers who update modules manually, see Update the Portal for help.

Compatibility With Vista

The 24.4 version of the web portal is compatible with the following versions of Vista
  • Vista 2024 R1 (coming soon)
  • Vista 2023 R2
  • Vista 2023 R1

Release Highlights

This release includes the following new enhancements. For more details, see the individual release highlights sections that follow.

  • Redesign of the Expense Posting Dashboard and Expense Approval pages: A major change for both pages is a restructure to the grid. Expense items are no longer nested under a receipt header, rather each line in the grid is now a single expense item. For a complete summary of all changes to both pages, see Expense Enhancements in 2024 R4.

  • New admin capabilities for editing fillable PDFs in Onboarding: Admins now have the ability to edit admin-specific fields in Onboarding fillable PDFs that have been completed by a new hire. See the HR Management Highlights Onboarding / ATS section for details.

Important: Upcoming removal of the Classic Billing Compiler

The Classic Billing Compiler will be removed in August 2024, replaced by the Next Gen Billing Compiler. To learn more, see How to Use the Next Gen Billing Compiler.

Vista Web Office Tools

The following enhancements and customer suggestions were added in this release.

  • New! Export inquiry results: You can now export inquiry results in a .xlsx file by selecting Excel Export at the top of the inquiry table. For more information, see Access Vista Inquiries on the Web.

  • Improved inquiry filter results: Inquiry filters now support parameters with dependencies, allowing for refined inquiry results.

    For example, in the inquiry below, you can choose a Division for the selected Service Center in order to view results for that specific Division.

HR Management Highlights

The following enhancements and customer suggestions were added in this release.

  • Earnings

    • Updates to I-9 Section 2 field defaults: When an employee enters a document with no expiration date on List A, B, or C of their I-9 form, the Expiration Date (if any) field now defaults to N/A on the downloaded version of their I-9.

    • Updated T4 slip: A new box for identifying employer-offered dental benefits (box 45) has been added to the T4 slip in compliance with the Canada Revenue Agency. See the Canada Revenue Agency website for details about changes made to the form. Go to Employee Tools > Earnings to view and download T4s from the portal.

  • Expenses

    • New! Redesign of the Expense Posting Dashboard and Expense Approval pages: A major change for both pages in this release is a restructure to the grid.     • Expense header information auto fills the first line item: On the Edit Expense Receipt page, when you fill out the header fields and save, the first line item now automatically fills with the header information. Select the Edit button to make further changes to the item.
      Note: This feature was added in an update after release 24.2+.
    • Drag and drop attachments to expense receipts: When creating or editing an expense receipt, you can add attachments by dragging and dropping them into either the header or an individual expense item. You can also drag and drop attachments to a pending receipt on the Receipts Pending Submission page.

      Note: This feature was added in an update after release 24.2+.
  • Onboarding / ATS

    • New admin editing capabilities for fillable PDFs in Onboarding: Admins now have the ability to edit admin-specific fields in Onboarding fillable PDFs that have been completed by a new hire.

      When setting up an Onboarding document, you must select the Required Second Step checkbox in the attachments section to enable this functionality. Additionally, admin-specific fields must be configured in the fillable PDF before you upload the document to the portal. For more information, see Create Document Templates.

      After a new hire completes their portion of a fillable PDF in Onboarding, if there are additional fields for the admin to complete, the onboarding task turns to the blue Waiting for Admin state until the admin completes and submits their portion of the PDF.

    • New fields added to the Initialize to Vista pop-up: You can now input an Occupation Category and Position Code for an employee when initializing a new hire to Vista. These values flow to Vista PR Employees (for the occupation category) and Vista HR Resources (for the position code).

      The selection options are dependent on the occupation categories set up in Vista PR Occupational Categories and the position codes set up in Vista HR Position Codes.

  • Personal Information
    • Attachment size limited to 10MB: Attachments added to the Update My Personal Info page must be less than 10MB. Files larger than 10MB will not upload, and you will see an error message.

  • Timecards

    • New portal setting: Limit Jobs available to clock-in by PRCo: If this setting is enabled, jobs listed on the Clock In page include only those jobs from the JC Company that matches the employee's PR Company number. This setting limits the jobs by PR Company only when clocking in from the login page or the navigation bar—it does not limit jobs listed when clocking in from a Kiosk login page.

      If this setting is not enabled, jobs from all JC Companies listed in the portal setting Enabled JCCos for Portal Timecard Entry (semi-colon separated) will display on the Clock In page.

      For example, with this setting enabled, if an employee belongs to PRCo 1 and clocks in from the navigation bar, the jobs listed on the Clock In page will only include jobs from JCCo 1:

      To access this advanced portal setting, go to Admin > Portal Settings > Timecard > Time Clock. For more information, see Clock In / Clock Out Configuration.

    • Updates to the Timecard Report: The submitted timecard report (accessed from the Timecard Dashboard) now includes page numbers at the top and bottom of each page.
      Note: If there are more than 13 days of time entered for the period, additional days, total hours, and approval information will be listed on the third page of the report.

Field Management Highlights

The following enhancements and customer suggestions were added in this release.

  • Field Management Mobile

    • New! Enhanced sort when creating a timecard: When employees are added to a timecard, Mobile now sorts crew employees the same way as the Web. Selected employees are sorted to the top of the list.
    • New! Improved process for timecard progress entries: In the Field Ticket Dashboard, when progress entries are coded for the same job, and on the same day, from two different timecards, the entries are no longer overwritten. Progress entered from the app now creates separate progress entry batches in Vista Web.
  • Purchase Orders
    • New! Copy a purchase order header for multiple POs for the same job and vendor: For Processed Purchase Orders in the Purchase Order Dashboard, you can now copy a PO header to create a new purchase order, like you would for Pending POs in Vista.

      All header fields are copied except the date and PO number. For the new PO, the Date field is automatically filled with the current date. For the PO field, you can enter a number or check the PO field to automatically assign a number.

    • New! Enhancements to material lookup: When you create a New Purchase Order, New PO Requisition, New SM Purchase Order, or New Pending PO you can now search with nonconsecutive characters, or a part of a word, in the Material lookup field.

    • New ECM dropdown for pending POs: The Edit Pending Purchase Order page now includes an OrigECM dropdown field similar to those in Vista. This field is available for Job, Inventory, Expense, Equipment, and Work Order line types.

    • Field Service users can now edit reserved POs: When the portal setting Route PO's in Field Service to Reserved on the PO Dashboard is enabled, users with a Field Service license no longer need PO access to edit reserved POs associated with their Field Service account. For more information, see Configure Field Service Portal Settings.
    • PO/SL Review: In the Pending PO/Subcontract Review page, the PO and SL attachments field will now display the file name instead of the file description.

  • Timecards

    • New portal setting: Limit Jobs available to clock-in by PRCo: If this setting is enabled, jobs listed on the Clock In page include only those jobs from the JC Company that matches the employee's PR Company number. This setting limits the jobs by PR Company only when clocking in from the login page or the navigation bar—it does not limit jobs listed when clocking in from a Kiosk login page.

  • AP Review
    • New fields added for easier invoice approvals: When you save a line in invoice review, Line Type 7 (SL) items now include Current Amount and Balance read-only fields similar to those fields found in Vista’s Subcontract Item Detail Lookup.

  • Purchase Orders
    • New! Copy a purchase order header for multiple POs for the same job and vendor: For Processed Purchase Orders in the Purchase Order Dashboard, you can now copy a PO header to create a new purchase order, like you would for Pending POs in Vista.

General Changes

General changes affect portal administration or multiple modules in the web portal.

  • In the portal setting Maximum number of days between password resets, the number of days entered must be a value of at least 1 and at most 99,999. A value of null is also permitted. For more details about this setting, see Modify Password Preferences for Your Portal.

Enhanced Styling for Web
