The Data Entry menu is used to
      record invoices as they are received. Invoices can be tracked optionally through Unapproved
      Invoice Processing, and routed automatically to reviewers for approval. Options are available
      for correcting invoice entry errors. Typically, invoices are entered and updated, then later
      paid. In addition, credit memos, recurring invoices and subcontract progress billings can be
      created and processed. Payments can be made by issuing regular check or by manual or pre-paid
      checks. Issued checks may be voided.

Data Entry Overview

If an invoice is posted to G/L in July, reversal posts to G/L
        in Aug, when performing a reversal, you might find you don't have the option to
        automatically move both items to history. This is because a G/L transaction is required.
        Below is an example of the accounting process if the reversal performed manually in August
        for an invoice entered in July:

With Automatic Invoicing you can automatically enter invoice headers into Spectrum without performing manual data entry, saving time and avoiding potential mistakes.

Automatic Invoicing (for Trimble Construction One Users)

If your company uses Microsoft Word, Excel, or PowerPoint, you can edit a VFP document (.docx, .pptx, or .xlsx) in Microsoft Office for the web. You won’t be able to open the document in Microsoft Office if it's an older version of office or if the document has custom mandatory fields with no values.

<body id="concept-8694"><main role="main"><article role="article" aria-labelledby="ariaid-title1"><h1 class="title topictitle1" id="ariaid-title1">Edit a Document Live in VFP</h1><div class="body conbody"><p class="shortdesc">If you use Microsoft Word, Excel, or PowerPoint, you can edit a VFP document (.docx, .pptx, or .xlsx) live in Microsoft Office for the web, allowing easy collaboration whilst retaining the control and governance of your workflow, permissions and security in VFP.  </p><section class="section"><h2 class="title sectiontitle">Enable Microsoft Office for the Web</h2><p class="p">When you first open a Microsoft Office document in VFP, <span class="ph">a user agreement message appears. Review the agreement and accept to proceed. If you decline the agreement, you cannot use the feature and the message will reappear if you try to use this feature again.</span></p><p class="p">When the user agreement has been accepted, the option to open a Microsoft document will be available from the drop down menu.</p></section><section class="section"><h2 class="title sectiontitle">Co-Authoring and Versions</h2><p class="p"><span class="ph">When you edit a document in Microsoft Office for the web, changes are saved automatically, and a new document revision is created once you close the editing session. More than one user can access the same document at the same time and make edits.</span> When each user closes the editing session, a new item revision will be added. <span class="ph">An audit is logged in the item's Activity Log for each user that opens the item. When each user closes the editing session after making a save, a new item revision will be added. </span></p></section><section class="section"><h2 class="title sectiontitle">File Types</h2><p class="p">If you upload an older file type to VFP (for example, .doc, .ppt, .xls), you  will not be able to edit them in Microsoft Office for the web. You won't see the option from the drop-down menu.</p></section><section class="section"><h2 class="title sectiontitle">Permissions</h2><p class="p">Permissions for Microsoft Office for the web are no different than the existing permissions for the current Live Revise process.</p></section><section class="section"><h2 class="title sectiontitle">Session Length</h2>
            
            <p class="p">The session length for Microsoft Office for the web is 60 minutes. After 50 minutes of inaction, you will receive a warning stating when your session will expire. Clicking <span class="ph uicontrol">Save and refresh</span> in the warning window will restart another 50 minutes. After 60 minutes of inaction, you will receive a warning that your session has ended. You will need to close the tab and restart the session.</p>

You can revise an item and then upload a new revision to share, edit the information associated with an item, and move items between containers, to make sure your latest information is right where you want it in Viewpoint For Projects™.

If you want to use Live Revise, you need to disable protected view for each Microsoft Office program or you will get an "In Use" error message.

<body id="concept-06-16-2022"><main role="main"><article role="article" aria-labelledby="ariaid-title1"><h1 class="title topictitle1" id="ariaid-title1">What's New in Spectrum 2022 R3</h1><div class="body conbody"><p class="shortdesc">Spectrum 2022 R3 is the year-end release which contains the required changes for processing Forms like W2s, 1099s, and those for ACA. We've also added other time-saving improvements, and fixes to customer-reported issues.</p><section class="section"><h2 class="title sectiontitle">U.S. regulatory updates for tax year 2022</h2>
            
            <p class="p">In support of the 2022 tax year filings, we've updated Spectrum so that the pertinent reports and electronic files are IRS-compliant, as well as functional with our partners like Nelco and Aatrix.</p>
            <div class="p">With this version, you can confidently proceed with your year end processing. We've updated things like:<ul class="ul"><li class="li">Nelco and Aatrix electronic file outputs</li><li class="li">These forms are all updated as needed for your use during year-end processing.<ul class="ul"><li class="li">Form 1099-NEC</li><li class="li">Form 1099-MISC</li><li class="li">Form W-2</li></ul></li></ul>

            <p class="p">Canadian filing forms did not require changes this year.</p>
        </section><section class="section"><h2 class="title sectiontitle">Easier state unemployment filing for U.S. payrolls</h2>
            
            <p class="p">In expanding our integration with Aatrix, Spectrum can now generate data files for electronic filing of U.S. state unemployment (SUTA/SUI) reports.</p>
            <p class="p">Some states require electronic filing of SUTA reports, and with Spectrum you can opt to use this convenient method even if your state doesn't require it. See new filing instructions in <a class="xref" href="/spectrum/spectrum/accounting/accounting/payroll/reports-overview/unemployment-tax-report">Unemployment Tax Report</a>, or for general information about using Aatrix, see <a class="xref" href="/spectrum/spectrum/accounting/accounting/payroll/reports-overview/aatrix-report-filing">Aatrix Report Filing</a>.</p>

        </section><section class="section"><h2 class="title sectiontitle">Expanded state and local tax filing options</h2>
            
            <p class="p">Spectrum can now compile and send state and local income tax data to Aatrix, who can coordinate with you to file the relevant forms using the appropriate methods, for a fee.</p>
            <div class="p">Among all states, this release includes more than 150 new options. To see what new filings are available for any state:<ol class="ol"><li class="li">Go to <span class="ph menucascade"><span class="ph uicontrol">Payroll</span><abbr title="and then"> &gt; </abbr><span class="ph uicontrol">Reports</span><abbr title="and then"> &gt; </abbr><span class="ph uicontrol">Aatrix Report Filing</span></span>.</li><li class="li">Select the <span class="ph uicontrol">State</span> button.</li><li class="li">In the <span class="ph uicontrol">Tax code</span> drop-down, choose a state.</li></ol></div>
        </section><section class="section"><h2 class="title sectiontitle">Flexible control over what appears on the W-2</h2>
            
            <p class="p">Using an enhanced window in the W-2 Build Process, you can decide which tax codes appear or not in boxes 15 through 20.</p>
            <p class="p">To see the list of tax codes you can opt to include on the W-2s, go to <span class="ph menucascade"><span class="ph uicontrol">Payroll</span><abbr title="and then"> &gt; </abbr><span class="ph uicontrol">Period End</span><abbr title="and then"> &gt; </abbr><span class="ph uicontrol">W-2 Processing</span><abbr title="and then"> &gt; </abbr><span class="ph uicontrol">Build W-2 Forms</span></span> and select the Overrides button.</p>
            <p class="p">Select the checkbox for each tax code you want to appear in the Edit W-2 Forms screen and the resultant W-2s.</p>
        </section><section class="section"><h2 class="title sectiontitle">Improved control of your service business</h2>
            
            <p class="p">In response to customer requests, we’ve enhanced security permissions enforcement in Service Requests in the context of adding new Sites and new Customers, providing better control over which users can do these functions.</p>
        </section><section class="section"><h2 class="title sectiontitle">Spectrum 2022 R3 Bug Fixes</h2>
            
            <div class="p">We've provided fixes to over a dozen customer-reported issues. In the <span class="ph uicontrol">Fixed in Version</span> field, select this version, then select <span class="ph uicontrol">Apply Filters</span>.</p><section class="section"><h2 class="title sectiontitle">Improved Field-Level Help Experience</h2>
            
            <p class="p">This release improves your experience when accessing Help for fields on a form.</p>
            <p class="p"> Field-level information for each form is now presented in a single Help article. When you press F1 from a field, you are taken to the appropriate Help location, but it now displays with all other fields on that form in a single article. This allows you to scroll through the Help for other fields on the form without having to press F1 again from the same Vista form.</p>
            <p class="p">This new format also eliminates lengthy lists of field definitions in the Help Table of Contents. You will now only see a "field descriptions" article for each form.</p>

                <div class="note tip note_tip"><span class="note__title">Tip:</span> If you are on a Field Definitions article that contains a large number of fields and you know the name of the field you are looking for, you can press <span class="ph uicontrol">Ctrl + F</span> and type in the field name, and the cursor will move to that section in the article automatically.</div>
