About the GL Purge Form

Use the GL Purge form to purge transaction details and/or account balances and budgets.

The GL Purge form has two tabs: Transaction Detail and Summary Balances. This allows you to perform purges individually.

Transaction Detail

This tab allows you to purge journal transactions. You can specify to purge transaction details for a specific journal or for all journals. You may keep detail for as long as desired, and are limited only to the amount of disk space available.

It is recommended that you do not purge transactions for open years. It is also suggested that only the system administrator be allowed to access this program.

Note:
  • This purge is not tied to the year end close.

  • You may not purge journal entries from open months.

  • The Journal Transactions Report is no longer available after the journal entry purge.

  • Trial Balance in detail format is no longer available after the journal entry purge.

Summary Balances

This tab allows you to purge account summary and reference totals, as well as account balances and budgets. You cannot purge balance information for the current or prior year (based on the last month closed in GL).

Comparison Financial Statements

Account balances may be maintained for as many years as desired, limited only by the disk space available. By keeping balances on your system for more than a year, you can create comparative financial statements.

Note: It is important to note that account balance purges are not tied to the year end close.
