About the PC Bid Package Form

Use this form to set up bid packages that you intend to solicit bids on.

You can create a bid package for multiple areas of work (scopes or phases) or set up separate bid packages for each individual area of work. You can also add attachments to a bid package that will be available for sending with notifications to anyone on the list of potential bidders for the bid package.

All bid packages are associated with a potential project; therefore, you must set up the project in PC Potential Projects before you can set up the bid package here.

Note: You can access this form from PC Potential Projects by clicking the Set Up Bid Package button or by double-clicking in the grid on the Bid Packages tab.

This document provides summary information on each tab on the form. Click here if you would like to see a step by step process of setting up a bid package.

  • Info - Use this tab to enter specifics about the bid package, including whether the bid is sealed, when bids are due, date/time of the project walk-thru, and the primary and secondary contacts for the bid package (i.e. who bidders will respond to for information or to submit a bid).
  • Scope/Phase - Use this tab to define the divisions or areas of work that are to be included in the bid package. Depending on how you generally set up projects for bid, this tab might include all areas of work on the entire project, or it might represent one specific area of work that you intend to bid separately (for example, electrical).
    Note: You will need to set up scope codes in PC Scope Codes before you can set up them up here for a bid package.
    You also have the option to initialize scopes/phases to a bid package using the PC PC Add Scopes & Phases form (accessed by clicking the Add Scopes & Phases button or by selecting File > Add Scopes and Phases to Bid Package.
    Note: You can delete scopes/phases if necessary by selecting one or more scopes/phases (using Shift for consecutive selection or Ctrl for random selection) and clicking Delete (button or Records menu option). You will receive a message informing you that you are about to delete records. If you select to continue, a second message displays indicating that deleting the scope/phase will also delete all bid coverage information for the scope/phase. To continue with the delete, select Yes. Select No to abort the delete and leave scopes/phases intact.
  • Bid List - Use this tab to create a list of potential bidders for the bid package; that is, vendors to which you will be sending a bid invitation or other notifications. You can add vendors manually in the grid or initialize them using the PC Select Bidders form (accessed by clicking the Select Bidders button). The list you create here will automatically default for selection when you create the invitation to bid message (in PC Compose Message, accessed via the Send Message button in the toolbar). Once you send the bid invitation, you can use the bid response column to track those vendors whose bids have been received, as well as those who have accepted, are undecided, have declined, or have not responded.
  • Inclusions/Exclusions - The Inclusions/Exclusions tab is used to identify the work that is included and excluded from a particular bid package. Enter inclusions and exclusions directly into the grid or double click on a record to open PC Bid Package Scope Notes.
  • Attachments - You have the option to add documents in the form of attachments to your bid package. Using the attachments function (accessed by selecting Tools > Attachments or clicking the Attachments button in toolbar), you can add any necessary documents to the bid package. Attached documents will then be available for inclusion when sending out the bid invitation.
  • Sending the Bid Invitation or Notification - When you have finished setting up the bid package and attaching all necessary documents, you are ready to compose your message. Click the Message button (toolbar) and select whether to compose a message using a template or your own message. The PC Create and Send form opens, allowing you to select message recipients, enter/edit the email message, and select attachments to include.   • Copy a Bid Package - To reduce data entry and improve efficiency when setting up bid packages, you can copy a bid package from any potential project. For example, if a similar bid package has already been created for another potential project, you can copy that bid package to the current potential project so that you don't have to create the new bid package from scratch. Select File > Copy Bid Package to copy a bid package. This will launch PC Copy Bid Package.
