Edit Agreement/Service Pricing for Renewals Manually

Once you create renewals for your agreements (in SM Agreement Renewal), you can then edit them as needed prior to activation.

When you create a renewal, the system copies information from the originating agreement to the renewal quote. This includes budget entries, agreement services, agreement and periodic service pricing and billing schedules, amortization schedules, and so forth. If you flagged an agreement for auto renewal, the system updates the agreement and service pricing based on the Renew Markup percent specified for the agreement.

You can then edit the renewals as needed. Edits to pricing can be handled directly in SM Agreement Renewal. The benefit to this is that the system will automatically update the billing and amortization schedules accordingly. Other edits must be handled in the SM Agreements form, which is easily accessed via the SM Agreement Renewal form.

  1. Open the SM Agreement Renewal form.
  2. In the Grid Shown field, select Renewals.
  3. Use the Type, Customer, and/or Only Show Agreements with Auto Renew fields to filter the renewals shown in the grid. As you tab to each field, the grid refreshes based on the values entered.

  4. Click Refresh.
    The grid refreshes to show all agreement renewals meeting the selected criteria.
  5. To update the agreement/service price using a markup percent:
    1. In the first grid, select the agreement to edit.
    2. In the % Markup field, enter the percent by which to mark up the agreement's pricing.
      Once you tab off this field, the system recalculates the new agreement price. In addition, it updates the markup percent and price for time-of-service and periodic services in the second grid.
    3. If applicable, use the % Markup field in the Services grid to change the defaulted markup percent for applicable services.
      The system automatically recalculates the New Price accordingly.
  6. To update the agreement price using a fixed amount:
    1. In the first grid, select the agreement to edit.
    2. In the New Price field, enter the new agreement price.
      Once you tab off this field, the system recalculates the agreement's markup percent. In addition, it updates the price and markup percent for time-of-service and periodic services in the second grid.
    3. If applicable, use the New Price field in the Services grid to change the defaulted price for applicable services. The system will automatically recalculate the % Markup accordingly.
  7. Repeat Step 5 for each applicable agreement/service
