FeatureDefaultDescriptionRequires Support Activation
Allow 4Portals at Container ContextNoThis feature ensures that 4Portal is available alongside the Project Summary page. It offers a graphical alternative to summarize activity within your project.Yes
Allow only filtered formsYesWhen enabled, you can refine the list of forms available within a container instead of seeing the full list for the project, site, or enterprise. No
Auto NamingNoThe system will automatically name items that are uploaded to the application. Click here for more information.Yes
Batch PrintingYesEnable the 4Printing client within the application to allow users to select multiple items to print as a batch. Items can be selected for batch printing via the Search page, Transmittal Details page, Notification Details page, or from the user's clipboard. No
Contract ManagerYesContract Manager provides users with a set of contracts and clauses that facilitates the implementation of correct project management principles and practices and defines legal relationships between employers and contractors.Yes
Default EmailNoYou have the option to select what default email is shown on your notifications from the application. This setting is turned off by default but can be enabled upon request. This option can be set up in an enterprise, site, or project, giving you flexibility regarding the origin of alerts.
  • With the setting turned on, your profile email is shown as the sender's address for all notifications.
  • With the setting turned off, alerts@4projects is shown as the sender's address for all notifications (with the exception of invitations).
Yes
Default Recipients (Document Container)NoThis setting enables users to be notified when an item is added, edited, or revised inside a document container. An email notification is then sent to all selected users.
Note: Activating this setting will override the Prevent Email Reciptients On Upload container feature.
Yes
DirectoryYesThis setting enables the directory at the enterprise level, which allows users to view all other users and organizations on the enterprise. Any distribution groups created at the enterprise level will also be visible. No
Discussion ContainersYesDiscussion containers are used to create an internet forum style discussion on a particular subject. Progress can be monitored and responses audited. No
Dynamic Virtual ContainersYesDynamic virtual containers are a means to collate items of varying types into one manageable area. Dynamic virtual containers are similar to static virtual containers in most respects; however, they do not require manually updating, as the contents dynamically change. For example, if an item is added to the dynamic virtual container and the item is then revised, the change will be reflected in the container. No
Email document recipients by defaultNoThis option ensures that the act of selecting a recipient will also ensure they are automatically emailed (for example, on a new upload).Yes
FormsYesForms allow you to create a series of form templates that use commonly shared sections and controls. You can use these templates to create completed forms within document containers, all without the need to upload pre-existing files from your machine. No
GeoviewYesThe GeoView feature is an interactive map that allows users to define a particular location (a GeoTag) as a property of a container or item by color. No
Live ReviseYesLive Revise enables users to open and amend a live file on the application. Once a file has been opened and amended using Live Revise, it can then be saved, which will create a new revision of the file that includes the amendments. This helps streamline the revision process for users by removing the need to download, amend, and then re-upload a new revision. No
Live Revise requires CheckoutYesThis option enforces that a file is checked out of the application prior to the Live Revise function becoming available. No
Maintain MetadataNoThis brings through the information from a previous revision when adding a new revision (for example, status). When performing a new revision of an item, this feature will automatically populate the metadata fields in accordance with what is already in place on the previous revision.Yes
Matrix TransmittalsYesA matrix transmittal allows you to distribute a selection of files to a number of recipients. Matrix transmittals fully audit and record on the application and allow you to attach items on the enterprise itself without first needing to download them.No
Move ItemsYesThe Move Items function allows you to move an item from one container to another. No
Multi File UploadNoThis feature provides an Upload File(s) option in the list of items. You can use this option to upload multiple files at once by either dragging and dropping or by browsing to a folder or to particular files. No
Naming ConventionNo Use the Naming Convention feature to force documents uploaded to Viewpoint For Projects™ to adhere to a specific naming convention (your own or a standard like BS 1192), ensuring consistency among document names. Yes
Notification TransmittalsYesNotification transmittals allow you to create a once-only announcement to a list of users with attachments from other areas of the enterprise. Notification transmittals can be thought of as email announcements with the following benefits:
  • They are fully audited and recorded on Viewpoint For Projects™.
  • They allow you to attach items on the enterprise itself without first needing to download them.
No
Numeric Revision ReferenceNoThis allows users to set the default revision reference to a numeric value. Please note that this is only visible to enterprise-level administrators and will apply to your whole enterprise. It can then be turned off at site or project locations where it is not desired.Yes
Personal CalendarYesThe personal calendar is individual to the user account; it cannot be seen by any other users of the application. You can enter diary events to mark personal occasions or tasks. No
Personal ContainerYesThe Personal container is a private area on the enterprise which allows you to save files for later reassignment into other containers or simply for remote personal file storage. Each user of the enterprise has access to their own personal container which no other users are able to access. No
Prevent Email Recipients on UploadNoThis feature allows you to control whether or not recipients are notified by email when items uploaded to containers are registered.

If the Prevent Email Recipients on Upload check box is selected, the Notify Recipients by Email check box on the registration form is automatically deselected and disabled. This means that recipients will not receive an email notification.

If the Prevent Email Recipients on Upload check box is not selected, the Notify Recipients by Email check box on the registration form is enabled. In this case, the user who is registering the item can choose whether or not recipients should receive an email notification.
Note: The container feature Defaults Recipients (Document Container) will override this setting if both are deployed.
No
Prevent the downloading of secondary filesNoThis option will prevent users from downloading secondary files attached to an item unless they have the Edit Item and Override permissions.Yes
Prevent the downloading of the original fileNoThis option will prevent users from downloading the original file associated with an item unless they have the Edit Item and Override permissions.Yes
Project CalendarYesThe project calendar is used to record diary events at a project level. Other users can be notified and they will also see the events in their project calendar.Yes
Public FilesYesThe public files functionality of Viewpoint For Projects™ enables users to make items publicly accessible to people who do not have an account for Viewpoint For Projects™ (similar to file hosting). No
Remove Document Type File from NameNoThis option is used to drop the extension when uploading items directly into the web app and through the current plugins of Explorer and Outlook. The option is visible only to System Admins.Yes
ReportsYesSelect this option to enable the saving of Search criteria as a report. The report is then easily accessible from the reporting menu and can be used over and over again (rather than defining a separate search to run in each instance). No
Searching by Custom Fields defaults to AND (rather than OR)NoThis option sets searching parameters on custom fields to use AND (meaning that criteria match in each of the custom fields that you outline in your search, rather than one or the other).Yes
Static Virtual ContainersYesStatic virtual containers are a means to collate multiple items of varying types (i.e. drawings, documents and tasks etc.) into one manageable area. Static virtual containers do not automatically update to record new revisions to items. Instead, their contents are static, and updates to items must be manually recorded using the Check for updatesfunctionality. Static virtual containers can only be created at the project level, and they can also be created within document containers as sub-containers.No
Task ContainersYesTasks are used to notify individuals of specific action items to be completed. Timescales and deadlines can be established, and task progress can be monitored. No
TemplatesNoThis feature enables you to create static templates of an enterprise, site or project. This allows you to duplicate specific areas of your enterprise with great ease.Yes
TenderingNoThis feature enables a tender project to be created in order to manage the tender process.Yes
Visible MarkupsNoThis allows markups to be visible in linked locations, as well as in the original location of the document.Yes
Workflow visibility (Allow revision owners organization)NoThis allows everyone from one organization to see items within a non-visible workflow (rather than just the owner).Yes
WorkflowsYesWorkflows can control the direction of information around a project team or limit the visibility of registered items during or after workflow completion. Workflows also offer the opportunity to check an item's validity prior to its publication to a wider audience. Typical examples of where workflows are used include the design review process, stage gate review process, simple QA checking, and status reviews. No
