Edit a Document Live in VFP

If you use Microsoft Word, Excel, or PowerPoint, you can edit a VFP document (.docx, .pptx, or .xlsx) live in Microsoft Office for the web, allowing easy collaboration whilst retaining the control and governance of your workflow, permissions and security in VFP.

Enable Microsoft Office for the Web

When you first open a Microsoft Office document in VFP, a user agreement message appears. Review the agreement and accept to proceed. If you decline the agreement, you cannot use the feature and the message will reappear if you try to use this feature again.

When the user agreement has been accepted, the option to open a Microsoft document will be available from the drop down menu.

Co-Authoring and Versions

When you edit a document in Microsoft Office for the web, changes are saved automatically, and a new document revision is created once you close the editing session. More than one user can access the same document at the same time and make edits. When each user closes the editing session, a new item revision will be added. An audit is logged in the item's Activity Log for each user that opens the item. When each user closes the editing session after making a save, a new item revision will be added.

File Types

If you upload an older file type to VFP (for example, .doc, .ppt, .xls), you will not be able to edit them in Microsoft Office for the web. You won't see the option from the drop-down menu.

Permissions

Permissions for Microsoft Office for the web are no different than the existing permissions for the current Live Revise process.

Session Length

The session length for Microsoft Office for the web is 60 minutes. After 50 minutes of inaction, you will receive a warning stating when your session will expire. Clicking Save and refresh in the warning window will restart another 50 minutes. After 60 minutes of inaction, you will receive a warning that your session has ended. You will need to close the tab and restart the session.
