Prepare for Integration

When integrating Team with an ERP, you are bringing together two systems of data that need to be reconciled. Business Units, Doc Types, Status Codes, Projects, and Contacts in Team must be reconciled with those in Vista, Spectrum or Jobpac. Review considerations for each of these areas to prepare for a smooth integration process.

Business Units

When integrated, Business Units in Team represent Companies in Vista and Jobpac or Company Cost Centers in Spectrum. As a first step of the integration reconciliation you will be mapping Business Units to Companies or Company Cost Centers. Before getting started, make sure your Business Units in Team match with your target ERP and that you have your Team projects aligned with the correct Company/Company Cost Center. If you do not map a Team business unit, the business unit will be added to Vista. Likewise, any Vista companies not mapped to a Team business unit will be added to Team.

Document Types

(Vista only) Next, you will be prompted to map Doc Types between Team and Vista. To prepare, take a few minutes and verify that the Doc Types in Team align with the Doc Types in Vista. The integration reconciliation matches the "short code" to validate between the two systems. Make any necessary adjustments in Team before running the integration wizard. If you do not map a Team Doc Type, it will be added to Vista. Likewise, any Vista Doc Types not mapped to a Team doc type will be added to Team.

Status Codes

(Vista only) Next, you will be prompted to map Status Codes between Team and Vista. To prepare, take a few minutes and verify that the Status Codes in Team align with the Status Codes in Vista. The integration reconciliation matches the "short code" to validate between the two systems. Make any necessary adjustments in Team before running the integration wizard. If you do not map a Team Status Code, it will be added to Vista. Likewise, any Vista Status Codes not mapped to a Team Status Code will be added to Team.

Projects

During the integration wizard you will be prompted to reconcile projects between Team and your ERP. For each project, you have the following choices: map to an existing ERP project or add the project to the ERP. When integrating projects, if numbers and formatting are mismatched between the two systems, the rules from the ERP will “win” and Team will be correspondingly overwritten to match.

Contacts

(Vista only) Additionally, you will want to consider contacts when integrating Team with Vista. Team contacts added to projects, and Submittals, RFIs, and Issues will be written back to Vista when the two system are connected. It is important to spend time ensuring that the contacts in Team are matched with Vista PM Firm Contacts. Verify that Firms match Organizations. Verify that names are consistently spelled between the systems, and that email addresses are consistent. All of these things will ensure you don’t end up with contact data in Vista that is unintended.
