Submittal Fields
The submittal fields contain the details of the submittal, including what is needed, who is completing the information, and when it is due.
When entering a contact, you can filter the list of contacts to select one or add a new contact.
To filter the list of contacts:
- Enter the first few letters of the contact's name to filter the list.
- Select Team Contacts to filter the list to contacts in your enterprise.
- Select PM Firm/Spectrum Contacts to filter the list to just contacts from your ERP system.
To add a Team user (someone who has a Team user account), enter the full email address associated with that user. Note this is not required if your enterprise is configured to limit contacts to Vista PM firms.
To add a new contact, click New Contact.
Field | Description |

Spec Section | Enter the first few characters of specification section related to the submittal and select it from the list. To add a new section, enter the complete specification section up to 20 characters and click New Spec Section. |
Number (Required) | Enter a unique identifier for the submittal. |
Title (Required) | Enter a title or subject for the submittal, up to 60 characters. |
Type | Select the submittal type from the list to be able to sort and filter by type later. |
Submitter | Select the project contact who is responsible for completing the submittal. |
Package | Enter the first few characters of the package related to the submittal and select it from the list. To add a new package, enter the package up to 50 characters and click New Package. |
Description | Enter a description for the submittal, up to 60 characters. |
Reviewer | Select the project contact who is responsible for reviewing the submittal. |
Additional Reviewers | Select any additional project contacts who should also review the submittal. Additional reviewers can respond to the submittal but cannot change the state of the submittal. |
Approver | Select the project contact who is responsible for approving the submittal. |
Additional Approvers | Select any additional project contacts who should also approve the submittal. |
CC | Select any additional contacts who should know about the
submittal. These contacts can:

Priority | Select the option for the priority of the Submittal:

Due on Site By | Enter the date to deliver the submittal items to the work site. |
Lead Days | Enter the number of days notice the submitter needs for the submittal. This lead time allows the submitter time to gather the information needed for the submittal. |
Due to Submitter | Enter the date to deliver the submittal to the submitter. Note: If Default Review Days are enabled for the
project, this date auto-adjusts to ensure the default review days
are provided. |
Due from Submitter | Enter the date the submitter should return the submittal. Note: If Default Review Days are enabled for the
project, this date auto-adjusts to ensure the default review days
are provided. |
Due to Approver | Enter the date to deliver the submittal to the approver. Note: If Default Review Days are enabled for the
project, this date auto-adjusts to ensure the default review days
are provided. |
Due from Approver | Enter the date the approver should return the submittal. Note: If Default Review Days are enabled for the
project, this date auto-adjusts to ensure the default review days
are provided. |
Reference | Enter reference information for the submittal. |
Priority | Select the option for the priority of the submittal.

Note | Enter any notes about the submittal. |
Notify Recipients | (Available once a work item has been created, and enabled by default.) If you do not wish to send email notifications to the reviewer and those included in the CC field, you can clear the Notify Recipients checkbox. |
