What's New in 2022 R10

What's New lists the enhancements and changes made in the 22.10 release. This release is available as of 10/12/2022. Android users can download the Field Management mobile app the same day as its release. For iOS users, the Field Management mobile app can take 24 to 48 hours following the release date to become available in the App Store.

Customers hosted in a Viewpoint cloud solution receive the latest update automatically. For customers who update modules manually, see Update the Portal for help.

Important: .NET Framework 4.8 required to update
  • Before updating to the current release, make sure you have .NET Framework 4.8 installed. This is a required prerequisite, as the updater will not run without this framework installed on your web host.
  • If needed, download the .NET Framework 4.8 from Microsoft at https://dotnet.microsoft.com/en-us/download/dotnet-framework/net48.

Release Cadence Reminder for Web and Mobile

As a reminder, HR Management for Vista, Field Management, Financial Controls, and Vista Field Service are now released every other month instead of on a monthly basis. This extends the supported version time frame and allows customers more time to gain knowledge and experience with newly released content.

Look for the next release of the web applications in December 2022.
Note: Field Management Mobile continues to be released on a monthly basis.

Release Highlights

This release includes the following new enhancements and changes. For more details, see the individual release highlights sections that follow.

  • New! Create low-code / no-code user-defined tables and forms on the web with the new Field Apps module! Available to Trimble Construction One customers, the Field Apps module offers a mobile-friendly, web-based interface for saving data collected in the field directly to your user-defined (UD) tables and forms in Vista. Enable the Field Apps module from the User Access page (under the Field Tools bundle).
    Note: Enabling the Field Apps module for a user assigns a Field Management license to that user. Field Apps users are listed on the License Count Report (sheet 3). To generate this report, select Export License Report from the Portal Settings page (Admin > Portal Settings > Portal Info).

    In order to use Field Apps:

    • You must be a Trimble Construction One customer.

    • Users must enable Vista single sign-on for their VP user name and log in to the portal with their Viewpoint ID. For help configuring single sign-on accounts in Vista, see Configure Your SSO Account.

    • Users must be given access to the UD tables and forms (and attachments where applicable) that they intend to update through the Field Apps module. Access to tables and forms is based on the Security Groups assigned to the user's VA User Profile. For more information, see Data Level Security for Custom Tables and Forms and About Adding Users to Security Groups.

General Changes

  • New! Audit employee group membership. Two new RDL reports have been added to help customers audit membership in employee groups.

    • Employee Group Detail Report: Run by the user from the User Access page. Lists all employee groups that a user belongs to and the user's role in that group, including groups assigned to portal settings. On the User Access page, select the gear icon for an employee. Then select Download Employee Group Detail.

    • Export Approval Permissions: Run from the Approval Permissions page. Lists all approval permissions currently assigned, the groups or individuals that those permissions apply to, and the permission type. On the Approval Permissions page, select the new Export Approval Permissions button in the upper right. Note that report rows display as collapsed. Select the plus sign (+) to the left of a row to expand that row and view group membership details for each approval permission.

  • Mail Log: The Process Source drop-down field now displays a hard-coded list of all email types that you can select from when searching the Mail Log. Previously, this drop-down was populated with only those email types relevant to the date range selected for a search.

  • Enhanced styling for Web: Styling updates have been made to the Career Path, Document Dashboard, Expenses, and Error Log pages to enhance the look and feel of the web portal.

HR Management Highlights

The following customer suggestions were added in this release. For a list of defect corrections, see the Issues Fixed page.

  • Expenses

    • New! AP Reference Number, Import Date, and Post Date columns now available on the Expense Posting Dashboard. Users can now add the following columns to the Expense Posting Dashboard grid:

      • AP Reference Number: Shows the invoice number for expenses that have been moved to a batch. Any edits made to the invoice number in Vista AP Transaction Entry will update the AP Reference number in the portal.

        Note: After you process the AP batch in Vista, the AP Reference number is cleared from the Expense Posting grid.
      • Import Date: Shows the date the a credit card transaction was imported into the portal. This date is also listed in the Credit Card Import grid.

      • Post Date: Shows the post date for credit card transactions. This date is imported when you import credit card transactions and is also listed in the Credit Card Import grid.

    • New! Post expenses to a single AP batch. If your organization processes expenses through Accounts Payable, you can now post expenses to a single batch regardless of PR company. On the Expense Posting Dashboard, use the PR Group filter to select the new All PR Groups option. This option allows you to view all expenses that are ready to post.

      Note: In Vista AP Transaction Entry, you can now view the name of the user who submitted an expense in the portal by selecting the Notes tab for an invoice line.
    • New! Reset expense approvers in bulk. You can now reset multiple approvers at a time if approvers changed or were added, or in cases when expenses were submitted to the wrong approvers. On the Expense Posting Dashboard, select the expenses to reset to new approvers. Then select the More button in the upper right of the page and choose Reset Approvers.

    • New! Email notifications for expense approvals are now sent in batches. Authorized recipients will now receive a consolidated email that includes all expenses approved since the previous mail sync (no more than once a day) rather than separate email notifications for each approved expense.

    • New! Require attachments for mileage expenses. To make the attachments field required when users enter mileage expense items, enable the new portal setting Require attachment with mileage expense submission.

    • New! View notes for rejected expenses. A new Rejected column now displays on the Submit Expense page. Rejected expenses will show a red x icon in this column. Users can select this icon to view manager notes for a rejected expense.

    • Check box selections now retained on the Expense Posting Dashboard and in Expense Approval. Check box selections are now retained if a user selects any check boxes in the grid, then clicks an expense item to open and edit it, and then goes back to the previous page. Previously, these check box selections were cleared.

    • New portal settings and portal setting changes:
      • Assign Attachment Type for Expense Attachments. Use this new portal setting to assign a default attachment type to expense reports.

      • Use Transaction Date for Invoice Date in Vista. Enable this new portal setting if you want the Transaction Date on an expense item to populate the Invoice Date in Vista AP Transaction Entry. Leave this setting blank if you want the submitted date on an expense item to populate the Invoice Date in Vista.

      • Disable Job Security when coding expense items. If you enable this setting, all open jobs will be available to charge for expenses, regardless of the job security setup for the user submitting the expense item.

      • When the portal setting Hide Pending Expense Items Until Lower Sequences Have Approved is enabled, higher sequence approvers will no longer receive email notifications for submitted expenses until lower sequence reviewers have approved.

  • Onboarding / Applicant Tracking

    • Personal Info step in Onboarding now defaults to Incomplete for Rehires. The Personal Info step in Onboarding now defaults to Incomplete for rehired employees (previously, it defaulted to Complete as long as all required fields contained information). As a result, rehired employees must open and save their Personal Info before continuing with the other onboarding forms that prefill based on Personal Info fields.

    • Change to the online Form I-9. In Onboarding, admins can now edit the Additional Information box on the online version of the I-9 form prior to initializing the new hire to Vista.

    • Change to the online Form W-4. If an employee selects the exempt check box on the online version of Form W-4, only sections 1a, 1b, and 5 will now be available. Previously, all sections of the form were available to exempt employees.

  • Performance Reviews
    • A banner now displays on a manager's home page when that manager has performance reviews to finalize. Previously, a banner displayed only if a manager had reviews to complete.

  • Time Off

    • The portal setting Include Pending Requests in Planned Use Calculation is no longer in General Configuration. The setting is now located under Admin > Portal Settings > Time-Off > Vista Configuration.

  • Timecards

    • New! Export timecards in the background. Timecard Admins can now export a batch of submitted timecards and receive an email with a link to the file when the download is complete.

      Note: Resolved issues causing the export process to time out (Issue #108581).
    • New! Choose the order for submitted timecards exported in a PDF. On the Timecard Dashboard, in Batch Action > Export Submitted Timecards (PDF), Timecard Admins can now choose to order timecards by Employee Number or by Last Name, First Name in the generated report.

    • New! Add Submission Questions to standard timecards. On the Standard Timecard Settings page, Timecard Admins can now add Submission Questions that will display before an employee submits a timecard.

    • In Grid Timecard > Bulk Add, you can now specify the Job type to have No Job. This is useful for bulk adding overhead lines to a timecard.

    • In Grid Timecard, Timecard Approval, and Job Time Approval, the Pay Period Ending drop-down fields now include the PR group description after the PR group number.

  • Training

    • Removed the Date Created column from the Manage Courses page. This was a legacy column that was not being populated.

Financial Controls Highlights

  • AP Invoice Review

    • Improved performance and speed of Invoice Review for users reviewing a large number of invoices.

    • Improved the Invoice Review annotation feature to now allow commas in text annotations.

  • Job Billing

    • Bills already in a batch can no longer be changed.

  • Field Management Mobile App

    • New! Automatically sync pay periods for Offline Kiosk. The Sync Pay Periods function now runs automatically if there are no active pay periods available in the mobile app when a Kiosk Admin logs in to the Offline Kiosk.

    • Revenue code now displays with revenue code description. When entering equipment usage, the revenue code now displays along with the revenue code description.

    • Improved error messaging when revenue codes have not been enabled for mobile. If a user attempts to enter equipment time when revenue codes have not been enabled for mobile, the following message now displays: Warning: No revenue codes found. Reach out to your administrator to update configuration. The previous error message instructed the user to sync data, which did not resolve the issue.

  • Job Approval
    • For users who do not have Progress Entry permissions, the button for Progress Approval is no longer available.

Vista Field Service Highlights

  • Work Order Dashboard / Work Orders

    • New! Show SM Service Site notes on work order card. If you want SM Service Site Notes to display on work order cards in Field Service, enable the new portal setting Show site notes on Work Order Card.

    • New! Technicians can now add or edit notes for SM Service Sites. Enable the new portal setting Allow Technicians to edit Service Site Notes if you want technicians to be able to add or edit SM Service Notes. To update notes, technicians select the Site Details button on a work order card and then select Edit on the Service Items on Site page. Notes updated in Field Service are saved to the Vista SM Service Sites form.

    • New! SM Service Site defaults now pushed to Vista for new work orders. When a user creates a new work order from the Work Order Dashboard and selects a service site, default information for the following fields is now pushed to the Vista SM Work Orders form automatically based on SM Service Site settings: PR State, PR Local Code, Craft Template, and Certified Payroll.

    • New! Select a Service Site without first selecting a Customer on new work orders. When creating new work orders, technicians can now select the Service Site without having to select a Customer first. The Customer field prefills based on the selected SM Service Site.

    • Select Division and Call Type on new work orders. Technicians can now select a Division and Call Type when creating new work orders from the Work Order Dashboard.

    • Send trip closeout emails to non-contacts. When completing a trip, technicians can now send closeout emails to recipients outside their list of contacts. See Close a Trip in Field Service for more information.

    • New portal setting: Disable Location Field on Inventory Work Completed Entry. Enable this setting to make the Location field read-only for new and existing Inventory Work Completed lines. The field will populate with the default location specified in SM Technicians in Vista. If no location is specified, the field will be blank.

    • Improved loading speed of the Work Order Dashboard.
