What's New in 2023 R10

What's New lists the enhancements and changes made in the 23.10 release. This release is available as of 10/5/2023. The Field Management Mobile application is available to download 24 to 48 hours following the release date.

Customers hosted in a Viewpoint for Cloud solution receive the latest update automatically. For customers who update modules manually, see Update the Portal for help.

Important: This release introduces a new PDF viewer. Some of the buttons that you were used to seeing in the old PDF viewer may have changed or may be found in different locations in the new PDF viewer.

Compatibility With Vista

The 23.10 version of the web portal is compatible with the following versions of Vista:
  • Vista 2023 R1
  • Vista 2022 R2

Installation Restricted to Supported Vista Versions

Important: As of the 2023 R8 release, the installer for the web portal will run only if you are on a supported Vista version. Viewpoint standard support is available for the two most recent Vista versions and the two most recent versions of the web portal. It is important to keep your ERP and your web portal up to date to prevent compatibility issues. Information about compatible Vista versions is provided on the What's New page for web portal releases.

Portal Login Security Enhancements

Users whose accounts are linked to their Viewpoint ID (VPID) cannot log in to the portal using their employee number. To unlink your portal login from your Viewpoint ID (which is your Trimble Construction One account), log in to the portal with your Viewpoint ID. Select your name in the upper right, and then select Unlink, which is near the top of the dropdown menu. See Configure Viewpoint ID Login for more information.

Release Highlights

This release includes the following new enhancements. For more details, see the individual release highlights sections that follow.

  • Updated Form I-9: The I-9 form and I-9 instructions have been updated in compliance with U.S. Citizenship and Immigration Services requirements. Employers must use the new version of the I-9 form as of November 1, 2023. See the HR Management Highlights section for details.

  • New! Updated PDF viewer: New PDF viewer allows you to collect signatures on fillable PDF documents. See the HR Management Highlights section for details.

  • New! Vista SQL inquiries now supported: Office Tools now supports most Vista SQL inquiries, with over 100 inquiries currently available on the web. See the Vista Web Office Tools section for details.

  • New! Export Vista form grid view to Excel: In Office Tools, users can now export their current grid view of a Vista form to an Excel file (.xlsx). See the Vista Web Office Tools section for details.

Vista Web Office Tools

The following enhancements and customer suggestions were added in this release.

  • New! SQL inquiries now supported: Office Tools now supports most Vista SQL inquiries, with over 100 inquiries available on the web. From the hamburger menu in Office Tools, select the new Inquiries option to view the list of inquiries available based on your security setup in Vista. You can sort or search for inquiries by name, title, or description.

    Note: User-defined inquiries and SQL inquiries with drill-down capabilities are not supported.

  • New! Export current grid view to Excel: Users can now export their current grid view of a form to an Excel file (.xlsx) using the new Export to Excel option available an each form. The exported file will include the full set of records available to the user (all pages). The columns and rows shown in the file are based on the user's current grid results. For example, if a user has filtered a grid to show only certain columns or rows, only those columns and rows are exported to the Excel file.

  • New! Enhanced lookups on user-defined forms: Lookup fields on user-defined forms now offer a pop-up window that you can use to select a valid entry, much like you would in Vista. Select the magnifying glass icon for a lookup to choose an entry for that field. The Available Lookups dropdown will list the same lookups that are available for that field in Vista.

    • New! Paging added to Inquiries. After you run an inquiry, you will see page numbers at the bottom of the screen that allow you to advance or go back through inquiry results more efficiently. You can also choose how many items to display per page.

  • New! Improved field groupings on tabs: Field groupings on Office Tools tabs have been improved to better match how fields are grouped in Vista.

HR Management Highlights

The following enhancements and customer suggestions were added in this release.

  • Onboarding / Applicant Tracking

    • Updated Form I-9: The I-9 form and I-9 instructions have been updated in compliance with U.S. Citizenship and Immigration Services requirements. Employers must use the new version of the I-9 form as of November 1, 2023. See the U.S. Citizenship and Immigration Services website for details about changes made to the form. You can also access a copy of the new form here.

      Important: Following your portal update, any I-9 forms that new hires currently have in progress will be updated to the new version of the form. Any I-9 forms that new hires submitted prior to the current release will remain on the old version of the form.
    • New! Updated PDF viewer: The new PDF viewer allows you to collect signatures on fillable PDF documents, such as state tax forms, that have been added as a task to a hiring profile or job category.

      If you have enabled the Document Library, this change also applies to fillable PDFs embedded in a Document for Signature or Acknowledgment.

      Important: Some of the buttons that you were used to seeing in the old PDF viewer may have changed or may be found in different locations in the new PDF viewer.
  • Dependents

    • New! Benefits proxies can now update dependents: Benefits admins can now add new dependents or update dependent information for employees who are in an open enrollment window. From the Benefits Dashboard, select Actions > Proxy Benefit Election. This opens the employee's Dependents page where you can select to Add a New Dependent or Edit Dependent information. See Add or Update Dependents for Employees for details.
      Note: The Proxy Benefit Elections option is available only for employees who are in an open enrollment window.
  • Expenses

    Coming soon: Multi-line coding for expense items. The upcoming 2023 R12 release will support multi-line coding cost breakout. To prepare for this major enhancement, plan to adjust your custom expense reports to support the new data structure.

    • New! Route Expense type approvals to GL Account reviewer group. For customers who process expenses through Accounts Payable, the portal setting Enable GL Reviewer Expense Approvers has been added. This setting allows you to route expense items coded to Expense to the Reviewer Group assigned to the GL Account on the GL Chart of Accounts in Vista. If no Reviewer Group is assigned to the GL Account, expense items coded to Expense will route based on default expense approval assignments. See About Expense Approval Assignments for details.

      Note: Following your portal update, this setting will apply to new Expense type expense items only, not to ones that were routed for approval prior to the update.
    • New! Route Equipment and EM Work Order expenses to EM Department reviewers. New portal setting Enable EM Department Reviewer Group on Equipment and EM Work Order Coded Expenses allows you to route Equipment or EM Work Order expense items to the Invoice Reviewer Group assigned to the EM Department in Vista. If no Invoice Reviewer Group is assigned to the EM Department, Equipment and EM Work Order expense items will route based on default expense approval assignments. See About Expense Approval Assignments for details.

      Note: Following your portal update, this setting will apply to new Equipment and EM Work Order expense items only, not to ones that were routed for approval prior to the update.
    • New! Limit cost codes for Equipment expenses. New portal setting Cost Code Override Lookup allows you to restrict the cost codes available on Equipment expense items. For an example lookup, see Cost Code Lookup for Equipment Expense Example.

    • New! Charge To column now shows Cost Type and Cost Code. For Equipment expense items, the assigned cost type and cost code now display in the Charge To column on the employee's Expense page (Items Pending Submission section), and in the grids on the Expense Posting Dashboard and Expense Approval pages.

    • New! Reject expense items without required coding. If you have enabled the portal setting Disable Required fields for expense type coding fields, expense reviewers no longer have to code required fields that are missing entries before rejecting the expense item in Expense Approval.

    • Updated credit card import template: For improved usability, the name of the employee number column on the credit card import template has been changed from Employee to EmployeeNum.

      Note: Added in build 1.23.10.9264.
      Important: The employee number column is required when importing your credit card transaction file (employee numbers themselves are not required). If you delete the EmployeeNum (employee number) column from your .csv file, your credit card transactions cannot be imported.
  • Timecards

    • Managers who approve timecards in multiple payroll companies will now receive approval notifications per PR company.

Field Management Highlights

The following enhancements and customer suggestions were added in this release.

  • Equipment

    • New! The portal now respects the EM Company Parameters selection in Vista: If the Validate Parts/Materials box is checked in Vista, all parts and/or materials are validated against the HQ Materials file. If Validate Parts/Materials is unchecked in Vista, users are allowed to use non-valid parts and/or materials (those not set up in HQ Materials) on work orders or cost adjustment entries.

  • Purchase Orders

    • ECM option in the New Material Order page has moved: Previously, material purchase entry was made in the more menu. Now, the ECM option is editable within a grid, which defaults to E.

    • New! Improved Quick PO form: In the Purchase Order Quick Create form, all required fields are now marked by a red asterisk.

  • Timecards
    • New! Select All and Select None buttons now available. In Grid Timecards, the Select All and Select None buttons are now available when bulk adding or copying lines for multiple employees. In addition, up to 50 of the selected employee names will show in the Select Employees and Copy to Employee(s) fields.

    • The system now prevents users from overwriting submitted, approved, or locked timecard lines when cloning onto grid timecards.
    • Improved performance when saving a shared grid timecard after adding time for a large number of employees.
    • In Timecard Approval, improved performance when approving a large number of timecards.

    • Managers who approve timecards in multiple payroll companies will now receive approval notifications per PR company.

Financial Controls Highlights

The following enhancements and customer suggestions were added in this release.

  • AP Invoice Review

    • In version 1.23.6, support for PO Audit Options in Vista AP Company Parameters was added to Vista Web. In this release, the portal setting Prevent Approver if over PO Amount was added, allowing you to configure your portal to ignore AP Company Parameters (defaults to disabled).

  • Job Billing

    • New! Job Billing now includes the total percent billed. In the Job Billing Dashboard, when you select a contract, you can see the job total percent billed for the entire contract at the bottom of the % Complete column.

  • Purchase Orders

    • ECM option in the New Material Order page has moved: Previously, material purchase entry was made in the more menu. Now, the ECM option is editable within a grid, which defaults to E.

Vista Field Service Highlights

The following enhancements and customer suggestions were added in this release.

  • Work Order Dashboard / Work Orders

    • New! Work Order History always available in SM Service Item Details. On the SM Service Item Details page, the Work Order History section now displays for all service items instead of displaying only for items that have a work order history. If a service item has no work order history, the following message will show in this section: No work orders have been done for this item.
    • New! Hide previously-billed work completed items. For Time and Material work orders, the new portal setting Hide Billed Work Completed items allows you to control whether technicians can view previously-billed work completed items on the work order scope in Field Service or on the PDF that is generated when the technician closes a trip.
    • If you have enabled the portal setting Show Technician Unavailable Time on Work Order Dashboard, the Work Order Dashboard will show SM Technician Unavailable Time from today's date forward. This applies even if you filter the dashboard to show trips from a date in the past.

General Changes

General changes affect portal administration or multiple modules in the web portal.

  • New! Updated PDF viewer: New PDF viewer allows you to collect signatures on fillable PDF documents.

    Important: Some of the buttons that you were used to seeing in the old PDF viewer may have changed or may be found in different locations in the new PDF viewer.
  • New! Retry password during update: Admins who enter an incorrect password during the portal update will now see a Retry button that they can select to re-enter their credentials.

  • The Portal Setting Audit Log now includes changes made by Named Login Users.

  • The User Access page now displays a message when the same last four digits of a credit card are entered for multiple users. This message is for informational purposes. Select OK on the message to continue.

  • Enhanced styling for Web: Styling updates have been made to the AP Invoice Review, Applicant Search, Expense Approval, Expense Posting, and Time Off Holidays pages to enhance the look and feel of the web portal.
