What's New in 2023 R6

What's New lists the enhancements and changes made in the 23.6 release. The web portal release is available as of 6/16/2023. The Field Management Mobile application will be released the week of 6/19/23. The mobile application is available to download 24 to 48 hours following its release date.

Customers hosted in a Viewpoint cloud solution receive the latest update automatically. For customers who update modules manually, see Update the Portal for help.

Compatibility With Vista

The 23.6 version of the web portal is compatible with the following versions of Vista:
  • Vista 2023 R1
  • Vista 2022 R2
Important: Installation to be restricted to supported versions: Beginning with the 2023 R8 release in August, the installer for the web portal will run only if you are on a supported Vista version. Viewpoint standard support is available for the two most recent Vista versions and the two most recent versions of the web portal. It is important to keep your ERP and your web portal up to date to prevent compatibility issues. Information about compatible Vista versions is now provided on the What's New page for web portal releases.

Security Improvements and Impact on Portal Login

Users whose accounts are linked to Viewpoint ID (VPID) are no longer allowed to log in to the portal via their employee number. To unlink your portal login from your Viewpoint ID (which is your Trimble Construction One account), log in to the portal with your Viewpoint ID. Select your name in the upper right, and then select Unlink, which is near the top of the drop-down menu. See Configure Viewpoint ID Login for more information.

Release Highlights

This release includes the following new enhancements. For more details, see the individual release highlights sections that follow.
  • New! Vista Web Office Tools: Access your Vista forms on the web! See Introducing Vista Web Office Tools for details.

  • New! Field Tickets for Mobile: Job time submitted on the mobile app now creates a field ticket in the web portal automatically. Plus, you can now send field tickets for manager approval. See Field Management Highlights for details.

  • New! Action Items: Create, assign, and route action items for your HR team members and employees. See HR Management Highlights for details.

Introducing Vista Web Office Tools

Access Vista forms on the web! Vista Web Office Tools gives licensed users direct access to the forms available from the Vista program folders.

What to expect in this release

Over 90 Vista forms available in read-only format from the Office Tools link in your navigation bar. More forms will be made available in future releases. See Vista Web Office Tools for more details.

License requirements

The Vista Web Office Tools feature is available to Trimble Construction One customers whose organizations are using a Named User License (NUL) model in Vista.

  • To access Vista Web Office Tools, a user must be an active Vista user and set up with a User Type of Vista on their VA User Profile.

  • Licensed users can access the same forms and attachments in the web portal that they have permission to access from the program folders in Vista.

  • Licensed users with access to user-defined (UD) forms in Vista will be able to modify those same UD forms in Vista Web Office Tools.

  • Field Management users with access to UD forms in Vista, will continue to have access to those forms through Field Apps. These users can be set up with a User Type of User Application on their VA User Profile, or they can be deactivated. See Field Apps for details.

    Note: Field Apps users will notice that their Field Tools > Field Apps link takes them to the Vista Web Office Tools page where they can navigate to UD forms.

Access Vista Web Office Tools

Users must log in to the web portal using their Viewpoint ID single sign-on (SSO) account. Licensed users who log in to the web portal using single sign-on will see an Office Tools link in the navigation bar of the web portal.

HR Management Highlights

The following enhancements and customer suggestions were added in this release.

  • New! Reduce workflow gaps with the new Action Items module: Create, assign, and route action items for your HR team members and employees, and set up default action item workflows. Action Items work across companies and are built based on templates that administrators create.
    • Enable Action Items on the User Access page (Module Bundle > Self Service). This adds an Action Items option to the user's My Tools menu. Action Items users consume an HR Management license.

    • Assign Action Item admins by employee group using the new portal setting User Group for Action Items Administrator Permissions. This new setting is available in the Checklists section of the Portal Settings page: Admin > Portal Settings > Checklists. See Configure Action Items for details.

    • Admins will see an Action Item Templates option on their Self-Service Admin menu. See Manage Action Item Templates for details.

  • Expenses

    • New! Multiple credit card vendors per company now supported: You can now enable multiple credit card vendors for the same company, and select which vendor to post credit card expense items to when moving credit card expense items to a batch.
      • Enable multiple credit card vendors per company using the portal setting Vendor for Credit Card Processing (Company Specific). Select the new Edit button that is now available for this setting, then enter a PR company and the associated credit card vendors. Separate multiple vendors with a comma. For example, 1,2,3. Add a new row for each applicable PR company.

      • If you configure credit card vendors for a payroll company, a new CC Vendor field will display on the Move to Batch pop-up window when posting credit card expenses. Users will be able to select the applicable credit card vendor from the CC Vendor field before moving credit card expense items to a batch. See Post Expenses to a Batch for details.

    • New! Expense Approval Permission: Assign employee groups created in the portal with permission to approve expenses for other groups. This option is in addition to assigning an Expense Reviewer Group on the User Access page (Module Bundle > Expense).
      • Expense approval assignments made on the Approval Permission page do not support serial approval. Only one approver is required to approve the expense.

      • If a user has been assigned an Expense Reviewer Group in User Access and expense approvers in Approval Permissions, reviewers from both groups will be able to approve expense items. Expenses will flow through Expense Reviewer Group sequences as usual.

      • In expense approval workflow:

        • Step 1 will show reviewers assigned in Approval Permissions followed by users assigned in the Expense Reviewer Group. Step 2 (if applicable) will show reviewers assigned to the next review sequence in the Expense Reviewer Group.
        • If you have enabled the portal setting Enable Job Reviewer Expense Approvers or Enable Job Reviewers Tab for Expense Approvers, Expense Reviewer Group assignments will be overridden by invoice reviewers assigned in JC Jobs.
        • Reviewer names will include the portal location where their expense approval permissions were assigned. For example, Dave Peterson - Approval Permissions, Lee Smith - User Access, or Lisa Crane - Job Assignment.

  • Onboarding / Applicant Tracking

    • The Voluntary Self-Identification of Disability Form has been updated in compliance with Department of Labor requirements. See the Department of Labor website for details about this change. You can also access a copy of the new form here.

      As part of this change, the portal setting Hide Federal Contractor Verbiage on Self-Identification Form has been deprecated. The verbiage that this setting was intended to hide is not included on the updated form.

    • New! Change hiring location and onboarding profile for new hires: Use the new Change Profile button in Onboarding Details to assign a different Hiring Location or Onboarding Profile to a new hire.

      When making selections in the Change Onboarding Profile pop-up window, note the following:

      • You can change the Onboarding Profile without changing the Hiring Location.
      • Changing the Hiring Location clears the current Onboarding Profile. You must assign an Onboarding Profile before you can save and exit the pop-up window.
    • For new hires and job applicants, the text shown above the Attachments section in onboarding tasks and job requisitions now lists only the maximum number of files allowed for upload. Previously, this text included examples of the types of documents that could be attached.

    • Improved processes related to exporting onboarding tasks from the web portal and adding onboarding attachments in Vista.

  • Timecards

    • The PostDate field is no longer supported as a row in grid timecards.

    • When attempting to delete a standard timecard line, users are now prompted to confirm that they want to delete the line before continuing.

    • When bulk adding time in grid timecards, fields in the Add Lines for Multiple Employees pop-up window now behave as follows:

      • If crews are enabled, and you select a crew, the Select Employees drop-down prefills with all members of that crew selected. You can remove crew members by deselecting their names from the drop-down.

      • The employee name that displays in the Select Employees drop-down determines the lookups used for the other multi-select fields in the pop-up window.

    • New portal setting Create a separate timecard entry per clock in and clock out pair. If you have configured Time Worked, you can enable this setting to have Start and Stop times from the Time Worked grid on a grid timecard prefill the Start and Stop time fields in the grid timecard lines.
    • Timecard Safety Net data sort: Data in the Batch From drop-down field is now sorted in descending order by PR End Date, PR Group, and then Batch ID number (previously, this field was sorted in ascending order by PR End Date). Data in the Batch To drop-down field is sorted in descending order by PR End Date and then Batch ID number.

Field Management Highlights

The following enhancements and customer suggestions were added in this release.

  • Field Management Mobile / Field Tickets
    • New! Field Tickets for Mobile: Job time submitted on the mobile app now creates a new field ticket in the web portal automatically.

      Note: Time entered for multiple days can no longer be combined into a single timecard template. Instead, a separate field ticket is created per day and job.

      When entering job time in tablet or mobile view, you will see a new Daily Log tab that you can use to add a field ticket description, weather information (pulls from the job location if available), and notes. When mobile time entries are submitted, Daily Log information is pushed to the web portal as part of the field ticket.

      If you are a Field Ticket user, field tickets submitted via the mobile app will display on the Field Ticket Dashboard only if you have assigned a default Field Ticket Layout for the applicable PR Company and PR Group in Grid Timecard Settings. See Configure Field Tickets and Related Grid Timecard Settings for help.

      If you are not a field ticket user, the field ticket is still created when job lines are submitted on the mobile app. However, you will not be able to access the Field Ticket Dashboard to view those field tickets in the web portal.

    • New! Submit field tickets for manager approval: You can now send field tickets for manager approval by enabling the new portal setting Show Field Tickets in Timecard Approval Screen. This setting is enabled by default if you have more than one user provisioned for Field Management Mobile. See Approve Time as a Timecard Manager for details.

      • You cannot edit the Payroll and Equipment sections of a submitted or approved field ticket when Show Field Tickets in Timecard Approval Screen is enabled, even if you have enabled Employee and Equipment Sections on the Field Ticket will always be editable.

      • You can edit the Payroll and Equipment sections of a a submitted or approved field ticket if you have enable Employee and Equipment Sections on the Field Ticket will always be editable and you leave Show Field Tickets in Timecard Approval Screen disabled.

    • New portal setting: Associate mobile production entries with the field ticket: Enable this setting to route mobile production entries through the field ticket approval process on the Field Ticket Dashboard.

    • New publisher name: In the iOS App Store and in Google Play, the publisher name for the Field Management Mobile app is now Trimble Inc.
  • Job Time Approval
    • On the Job Time Approval page, if a user selects All in the Approval Status filter, the grid displays all approved and unapproved timecards assigned to that user. Users will not have access to any timecards that they do not have permission to view. A new information icon has been added to the Approval Status filter to help clarify the purpose of the All filter.

    • New filtering for service lines: If you enable the portal setting Require filtering of Job Approval results by job, the Job filter now defaults to SM Time not assigned to the Job, allowing quick access to service lines in Job Approval. Note that when SM Time not assigned to the Job is selected, the Type filter defaults to S (service lines). Similarly, if you select a job from the Job filter, the Type filter defaults to J (job lines).
  • Progress Entry

    • The following Progress Entry portal settings have been converted from user-defined fields (required a UD field in Vista) to standard fields (enabled by selecting a check box in the portal). Setting behavior has not changed.

      • Enable Notes Entry (previously required a udNotes field on JC Progress Entry): Enable this setting to add a Notes column to the Edit Progress Entry page, allowing users to enter notes for each phase on a progress entry.

      • Enable Last Modified By (previously required a udModifiedBy field on JC Progress Entry): Enable this setting to add a Last Edited by column to the Edit Progress Entry page. This column updates automatically with the name of the user who made the most recent change to a progress entry phase.

  • Purchase Orders

    • New! Shipping address drop-down fields for Pending Purchase Order and PO requisition: Easily select an existing shipping address from the Shipping Location drop-down menu. PO shipping addresses are pulled from Vista PO Shipping Locations.

      • To access the Shipping Location drop-down menu in a Pending Purchase Order, select the Shipping Info button at the top of the page after you have created and saved a PO header. The Edit Shipping Info pop-up window displays.

      • To access the Shipping Location drop-down menu in PO Requisitions, select , then Edit Address. The Edit Shipping Info pop-up window displays.

    • Pending POs now support the Active checkbox on the JC Job Roles tab. Only Active JC Job reviewers are included in the PO Pending workflow.

    • If you have enabled Process Requisitions to create Pending Purchase Orders in portal settings, you can now see the requisition number when reviewing a pending PO.

  • Timecards

Financial Controls Highlights

The following enhancements and customer suggestions were added in this release.

  • AP Invoice Review

    • AP invoice approval now respects the following Audit Options for purchases orders in Vista AP Company Parameter Settings:

      • Allow transactions to exceed item line's current total cost: If enabled, allows users to enter an invoiced amount that exceeds the current total cost of the purchase order.

      • Allow transactions to exceed item's current total cost: If enabled, allows a transaction’s invoiced amount to exceed the current total cost of the purchase order item.

      • Allow Transactions to exceed PO's current total cost: If enabled, allows a transaction's invoiced amount to exceed the current total cost of the purchase order.

      If one or more of these settings is disabled in Vista, portal users will receive a warning when attempting to approve an invoice with PO line items or totals that exceed the respective parameter.

    • You can now attach and view HEIF (.HEIC) images for AP invoices from your iPhone.

  • Purchase Orders

    • New! Shipping address drop-down fields for Pending Purchase Order and PO requisition: Easily select an existing shipping address from the Shipping Location drop-down menu. PO shipping addresses are pulled from Vista PO Shipping Locations.

Vista Field Service Highlights

The following enhancements and customer suggestions were added in this release.

  • General Changes

    • New! Send approved time off requests to the SM Dispatch Board: New portal setting Push approved leave requests to the SM Dispatch Board allows you to send approved time off requests (with notes, if applicable) for SM Technicians to SM Technician Unavailable Time in Vista. Partial time off requests start at 7 am, and the unavailable time is visible from the SM Dispatch Board. Canceled time off requests are removed from the SM Dispatch Board immediately.

      Note: New portal setting is located in the Time Off section of the Portal Settings page: Admin > Portal Settings > Time-Off > General Configuration.
  • Work Order Dashboard / Work Orders

    • New! Allow technicians to edit trip schedules: Use the new portal setting User Group to allow editing of scheduled date to give a selected employee group the ability to modify trip schedules. Users in this employee group will see a calendar icon in the header of each work order, which they can select to open a pop-up window where they can edit the trip date, time, and description.

    • New! Send the trip completed email to the SM Service Center automatically: Enable the new portal setting Include Service Center Email on Trip Close Out Distribution to include the SM Service Center email address in the list of Close Out Email Recipients by default. Note that when this setting is enabled, the SM Service Center is included in the drop-down list of signers on the Trip Completion page.

    • New! Limit the ability to add scopes to existing work orders: Use the new portal setting Employee Group for restricted SM Add Scope to restrict the ability to add scopes to existing work orders to a specific user group. Users excluded from this group will not have access to the Add Scope button on new work orders. These users will still be able to add scopes to work orders that they created and have permission to (as the assigned technician or via the Service Manager Dashboard).

    • New! Capture signatures before completing a trip: Technicians can select the new Add Work Completed > Collect Signature option on a scope to capture one or more signatures before completing a trip. Signatures can still be collected at trip closeout but are not required if they have already been collected. Any signatures collected prior to trip closeout will display as read-only in the Signature section of the Trip Closeout page.

    • Enhanced validation for overlapping time entries entered on work orders: Previously, technicians could enter overlapping start and stop times on work orders and submit those entries through the standard timecard, resulting in payroll processing errors in Vista. This has been corrected. Technicians will now receive an error message when attempting to submit a timecard with overlapping start and stop times that prefilled from work orders. They will not be able to submit the timecard until correcting the time entries.

      Error message: Unable to save your timecard. Your start / stop times overlap with other work in the same day. Please review your timecard and try again.

      Note: Overlapping start and stop times entered directly on the standard timecard have always been subject to validation before being submitted. To exclude specific earn codes from the start and stop time overlap restriction, use the portal setting Earn Codes to exclude from start / stop Overlap Restriction.
    • Line breaks are now supported for site notes added to service items.

    • Enhancements were made to the mobile UI when completing a trip from the Work Order Details page.

General Changes

General changes affect portal administration or multiple modules in the web portal.

  • Scheduled Jobs:
    • RefreshVistaDBUsers: The job history status now updates to Job Finished when running this job manually. Previously, the Job Enqueued status persisted when running this job manually.

    • Bulk-update-SSO: For on-premise customers, resolved errors that were occurring as a result of this job.

  • Enhanced styling for Web: Styling updates have been made to the Grid Timecard, Group Messages, Mail Log, and Training Class Dashboard pages to enhance the look and feel of the web portal.

  • Portal setting changes: All portal settings related to VCM (Viewpoint Content Management) have been deprecated (settings were located under Administration / Initial Setup > Advanced Configuration). The VCM product is no longer sold or supported.
