What's New in 2022 R4

What's New lists the enhancements and changes made in the 22.4 release. This release is available as of 4/14/2022. Android users can download the mobile app the same day as its release. For iOS users, apps take 24 to 48 hours following the release date to become available in the App Store.

Customers hosted in a Viewpoint cloud solution receive the latest update automatically. For customers who update modules manually, see Update the Portal for help.

Important: Complex passwords now required
  • Complex passwords are now required for all users who log in to the portal with their employee number.
    • A complex password must be at least eight characters long and must contain at least three of the following: lowercase letters, uppercase letters, numbers, and special characters (such as #, $, or %).

    • Existing users will not have to update their passwords immediately. Instead, they will be required to enter a complex password the first time they request a password change following the update to version 22.3.

      Note: As part of this change, the portal setting Enforce complex password requirement has been removed from Admin > Portal Settings > Security / Login > Log In Page.

Highlights and General Changes

Following are the main highlights for this release. See the sections that follow for detailed information on the highlights and enhancements made in each module.

  • Added Viewpoint Analytics to the Application menu!
    • You can now access Viewpoint Analytics from the Application menu in the portal when portal setting Show TC1 Link On Nav is enabled.

  • New! Enhanced styling for Web: Styling updates have been made to home page to enhance the look and feel of the web portal. These changes have no impact on portal workflows or functionality.

    Look for additional styling updates in upcoming releases.

HR Management Highlights

The following customer suggestions were added in this release. For a list of defect corrections, see the Issues Fixed page.

  • Benefits

    • Improved validation has been added to the portal setting Input settings per Benefit Type.

      Setting location: Admin > Portal Settings > Benefits > Benefit Code Configuration.

  • Earnings

    • New Admin Role PR Admin allows users to access the Paystub Tools page.

      Note: Current Timecard Admin users are automatically added to this Admin Role. Users added to the Timecard Admin role in future releases will need to be assigned the PR Admin role as well if they require access to Paystub Tools.
  • Expenses

    • New portal setting Default New Transactions to Blank Date. When enabled for a PRCo, the date field on new expenses does not default to the current date and remains blank. This update prevents users from selecting the incorrect date.
      Note: This does not apply to Quick Add.

      Setting location: Admin > Portal Settings > Expense > General Configuration.

    • When a user selects a proxy for entering expense reports, the Expense, Job, and GL Account lookups for the proxied user now support PRCo and Employee. This will allow you to make more dynamic lookups based off of the proxied users.

  • Onboarding / Applicant Tracking

    • New field Expected HR Ref on the New Hire Detail page. Onboarding Admins can enter the HR Ref they want to assign for a user, and that number will be skipped for other new hires when using the Auto Generate HR Ref function.
      Note: Until the user is initialized, they will not be displayed in Vista. The HR Ref number will still be skipped for other new hires in Vista.
    • The Initialize to Vista modal now supports salary amount / hourly amount to include five digits after the decimal to match Vista HR Resources New Salary / Rate field.

  • Time Off

    • When the portal setting Enable custom Friday hours column on User Access to override default work hours is enabled, the Friday Hours column will now show under the following Module Bundle on the User Access page: HR Management > Time Off.

      Setting location: Admin > Portal Settings > Show Advanced Settings > Time Off > Advanced Configuration.

    • Improved validation has been added to the portal setting Extended Leave Code configuration.

      Setting location: Admin > Portal Settings > Time-Off > General Configuration.

  • Timecards

    • New Admin Role PR Admin allows users to access the Paystub Tools page.

      Note: Current Timecard Admin users as of the upgrade to version 22.4 are automatically added to this Admin Role. Users added to the Timecard Admin role in the future will need to be added to the PR Admin role as well if they require access to Paystub Tools.
    • Timecard Admins can now export both zip files and combined PDFs when exporting submitted timecards from the Timecard Dashboard.

    • The Timecard Dashboard now displays historical payroll data for closed pay periods. Only users with time charged in a previous pay period are shown in the historical payroll data, even if their payroll group has changed since that pay period.
      Note: Associated with Issue #106838.

Financial Controls Highlights

  • AP Invoice Review

    • New portal setting Support line item phase description override on AP Line items. When this setting is enabled, the line item description is updated to the phase description when a new line is added or edited.

      Setting location: Admin > Portal Settings > AP Review > Advanced Configuration.

  • Purchase Orders

    • When creating a PO from Requisition on the Purchasing Agent Dashboard, the header now defaults to the selected job if the lines have the same Job line listed.

Field Management Highlights

  • Field Management Mobile App

    • Portal setting Enabled Rev Codes for Mobile Equipment Entry (comma separated) now supports revenue codes with decimal points.

      Setting location: Admin > Portal Settings > Field Management Mobile > General Configuration.

    • Portal setting Grid Timecard and FM Mobile: allow zero hour lines to be saved and submitted now supports FM Mobile, in addition to Grid Timecards. When enabled, users can enter timecard lines with zero hours in Field Management Mobile.

      Setting location: Admin > Portal Settings > Timecard > Grid Timecard.

    • Tablet grid view is now available for mechanic timecard lines.

  • Field Tickets

    • Improved Field Ticket delete performance by adding indexes into Vista database.

  • Job Approval
    • The Notes icon has been removed from the Time Worked grid. To view notes, click start or stop time.

    • Users can now filter the Job Time Approval grid by the timecard Approval Status.
      Note: The Approval Status drop-down defaults to Unapproved.
  • Progress Entry

    • Portal setting Restrict Production Approval to Job Time Approvers is no longer an advanced setting.

      Setting location: Admin > Portal Settings > Progress Entry > General Configuration.

  • Purchase Orders

    • When creating a PO from Requisition on the Purchasing Agent Dashboard, the header now defaults to the already selected job if the lines have the same Job line listed.

Vista Field Service Highlights

  • General

    • Photos downloaded to iOS devices now open in the Photos app instead of Safari.

  • Form Templates

    • Technicians now only see forms associated with their current trip. Duplicate forms are no longer saved to Vista.

  • Close a Trip
    • You can now disable trip complete email confirmations by SMCo in portal setting Do not send email confirmation when completing trips.

      Setting location: Admin > Portal Settings > Field Service > Trip Close-Out.

    • Trip Closeout emails now include the company name in the email subject and the company logo in the email.

  • Service Manager Dashboard
    • Managers can now download a trip PDF and email it directly to the customer, as well as resend the email if necessary.

      • Enable portal setting Do not send email confirmation when completing trips.

      • Select the Trip Completion Review check box to filter the Service Manager Dashboard by trips that have been signed, but the Trip Completion email has not been sent to the customer.

        Setting location: Admin > Portal Settings > Field Service > Trip Close-Out.
        Tip: To edit the trip notes from the Service Manager Dashboard, select the Action drop-down, and select Edit.

  • Work Order Dashboard / Work Orders
    • The Summary field is now visible when adding a new service item to a work order.

    • The SM Service Center name and description now display in the Service Center drop-down.

    • Purchase Orders have been added as an option in portal setting SM Cost Type Visibility. Designate the default PO Cost Type in portal setting SM Default Cost Types.

      Settings location: Admin > Portal Settings > Field Service > Work Complete.

    • When creating a PO through Field Service, the date now defaults to today's date.

    • Portal setting Attachment Type IDs to include from Trip Completion Summary (comma separated) now allows users to specify attachment type IDs to include in the compiled Trip Completion PDF. If left blank, all attachment type IDs will display.

      Setting location: Admin > Portal Settings > Field Service > Trip Close-Out.
      Note: Resolved in an update after release 22.3+.
    • New portal setting Require billable hours >= labor hours prevents users from saving Work Orders when the labor hours entered exceed the billable hours.

      Setting location: Admin > Portal Settings > Field Service > Work Complete.

    • New portal setting Restrict Work Orders Available on Manager Dashboard By SMCo allows users to designate an employee group that would have visibility to the listed SM company work orders.

      Setting location: Admin > Portal Settings > Field Service > General Configuration.

    • New portal setting Allow Technicians to manually enter in SM Work Order Numbers. When enabled, users can manually enter work order numbers on new work orders.

      Setting location: Admin > Portal Settings > Field Service > General Configuration.

    • The SM Complete screen now displays only the attachments to be included in the Trip Closeout email to technicians. Designate the attachment ID types to be included in portal setting Attachment Type IDs to include from Trip Completion Summary (comma separated).

      Setting location: Admin > Portal Settings > Field Service > Trip Close-Out.

    • When Trip Notes are enabled in the portal setting SM Note Settings, technician name and trip notes are now included in a PDF attached to the Trip Closeout email for any trip notes that have not yet been sent.

      Setting location: Admin > Portal Settings > Field Service > General Configuration.
