About the HR Codes Form

Use this form to set up codes used throughout HR.

The code types are as follows:

The HR Codes form allows you to set up the majority of the different codes you will need without having to enter a variety of programs to do so. The exception to this is the Benefits and Position Codes programs, which are used only to set up benefit and position codes, respectively.

The Codes form uses a code Type to distinguish between the different categories of codes you can set up. Each of these types will be used in specific maintenance programs when setting up the miscellaneous types of information about a resource.

  • Accident Type Codes – Used to identify different types of accidents. Codes of this type are used in the HR Resource Accident program.

  • Body Part Codes – Used to describe the location of the injury. Examples of codes that you might want to set up are: left arm, right arm, left knee, right knee, left index finger, right index finger, and so forth. These codes are used when logging entries in HR Resource Accident.

  • Schedule Codes – Use for codes that identify the different work schedules (e.g. Days, Swing, and Graveyard) or types of leave (vacation, paid time off, etc.). The system uses this type of code in the HR Resource Schedule, HR Leave Request, and HR Multi-Day Leave Request forms.

  • Drug Testing – Use for codes that identify a type of drug test or reasons for drug testing (Alcohol, Narcotics, Pre-employment, Random Testing, etc.). Codes of this type are used in HR Resource Drug Testing.

  • History Codes – Used to identify the different phases/events in an employee’s history. Some example codes are winter layoffs, fired for discipline reasons, hire date, interview date, start date, leave of absence, accidents, grievances, and so forth.

  • Injury Type Codes – Used to categorize injuries. Typical injury codes could include bruise/abrasion, burn, concussion, cut/laceration, fracture, electrical shock, and so forth. These codes will be used when logging entries in HR Resource Accident.

  • Reason Codes – Use for codes that identify an explanation for termination or salary adjustment (e.g. Cost of Living, Discipline Problem). Codes of this type are used in the HR Resources and HR Resource Salary History programs.

  • Rating Codes – Used to identify items to be evaluated during an employee’s performance evaluation (e.g. Attendance, Attitude, Job Performance, etc). These codes are used when setting up rating groups in HR Performance Rating Groups, and when logging entries in HR Resource Review (Performance Ratings tab).

  • Skill Codes – Used to identify the different types of skills acquired by employees. Examples of skill codes are CPR, stress reduction, first aid 1-2-3, framing 1, welding 2, and so forth. These codes are used when logging entries in HR Skills.

  • Training Codes – Used to identify different training acquired by an employee (e.g. Accounting 1, First Aid, and Computer). Codes of this type are used in the HR Resource Train program.

  • Drug Test Status – Used to identify the different statuses for drug tests (e.g., Awaiting Results, Negative, Employee Refused, etc.). The system uses this code type in HR Resource Drug Testing.

  • Reward Codes – Use for codes that identify types of rewards given to employees for performance or contribution (e.g. Bonus, Plaque, Certificate, etc.). Codes of this type are used in the HR Resource Rewards program.
