What's New in 2022 R2

What's New lists the enhancements and changes made in the 22.2 release. The web release is available as of 2/16/2022. Field Management mobile has been delayed until the next release.

Customers hosted in a Viewpoint cloud solution receive the latest update automatically. For customers who update modules manually, see Update the Portal for help.

Important:
  • Starting with the 2022 R3 release (March), complex passwords will be required for all portal users who log in with an employee number.
    • Users will not be required to update their passwords immediately. Instead, the system will require a complex password the next time users change their passwords following the update to the R3 release.
    • Complex passwords require a set number of characters, with a combination of letters, numbers, and symbols. The What's New page for the R3 release will provide information on complex password requirements.

Highlights and General Changes

Following are the main highlights for this release. See the sections that follow for detailed information on the highlights and enhancements made in each module.

  • COMING SOON! Offline Time Clock Kiosk in Field Management Mobile

    Important: The Offline Time Clock Kiosk will be available in an upcoming mobile release.

    • The Offline Time Clock Kiosk allows employees to clock in and clock out of jobs and phases using a tablet at the job site. Compatible with iPads and Android tablets, the Offline Time Clock Kiosk was built to be used on job sites that have weak or non-existent mobile connectivity.
      • Users assigned as FM Kiosk Admins (on the User Access page) can launch the Offline Time Clock Kiosk in the mobile app so that employees can clock in and out.

      • During clock-in or clock-out, a picture of the employee is captured and stored. These pictures are available for managers to review and validate during Timecard Approval.

  • Continued Trimble Viewpoint rebranding enhancements

    • Sign-In page: Images and backgrounds were updated on the Sign In page, and the Log In With Viewpoint ID button was moved to the bottom of the sign-in section.
    • Navigation bar: The background for the navigation bar is now white instead of black; the link to the TC1 home page is now available by selecting the new application menu (waffle menu icon); and the Logout option has been removed from the navigation bar and added to the drop-down menu available from the user's name. In addition, loading performance of the navigation bar has been improved.

  • Automated emails now sent when accounts are unlocked
    • Users now receive an automated email message after an Admin unlocks their account.

  • Bulk SSO process now automated

    • The bulk SSO linking process now happens automatically each day at 2 a.m. server time.

  • New Logout Date in Login Auditing

    • A new Logout Date column now shows in the Search Events By Employee section of the Login Auditing page. This column shows when the date and time that the user logged out of a session before the session expired.

HR Management Highlights

The following customer suggestions were added in this release. For a list of defect corrections, see the Issues Fixed page.

  • New Document Admin role and changes to the Personal Info Admin

    • A new Document Admin role has been added to the Admin Roles page to allow for better security regarding attachments uploaded to the portal (for example, vaccination records or FMLA documents). As part of this change, Personal Info Admin permissions have been modified.

      • Document Admins can approve or reject attachments submitted via the Submit a Document section in Update Info. They do not have permission to approve or reject any other Personal Info requests.
      • Personal Info Admins can now approve or reject all Personal Info requests except for attachments submitted via the Submit a Document section in Update Info.

        Note: When you update to the R2 release version, users currently assigned as Personal Info Admins will be assigned as Document Admins automatically. Be sure to manually deselect the Document Admin role for any Personal Info Admins that should not have this permission following the update.
  • Paystub Tools

    • Print historical tax documents for all employees, even if they consented to electronic document delivery.
      • The Print Opted-Out Annual Documents section has been renamed Print Annual Tax Documents. Use this section to print annual tax documents based on an employee's electronic document delivery choice (Opt-In Status), the tax year, document type (W2, 1095C, or T4), and employee name. You can print documents for a single employee or all employees who fit filter criteria.

      • The portal setting Number of annual opted-out documents to export at once (W-2, T4, 1095C) has been renamed Number of annual documents to export at once (W-2, T4, 1095C). Use this setting to limit the number of annual tax documents that can be downloaded at a time (typically used for performance purposes). Setting location: Admin > Portal Settings > Earnings > Tax Documents.

    • Amended T4 forms are now supported in the portal.
  • Performance Reviews

    • New option to export Performance Review Dashboard information to an Excel spreadsheet. Select the Export button, and then select Export Excel. The Export Tabular option is still available if you want to download a PDF version of the data.

    • New portal setting Allow Managers and Employees to view Performance Reviews that are in progress allows the manager and employee to view unsubmitted performance reviews that each one has in progress for the employee's review. Managers and employees can see in-progress reviews but not edit them. This setting is useful for companies that use cumulative reviews that are updated throughout the year.

      If you enable this setting, you will see the following changes under Employee Tools > Performance:
      • The Manager View tab will show the In Progress status as a hyperlink, allowing the manager to access the employee's portion of the review without it being submitted.

      • The My Performance tab will show the manager's name as a hyperlink, allowing the employee to access the manager's portion of the employee's review without it being submitted.

  • Timecards

    • New Charge To column on the Job Approval window for Timeard Approval and Timecard Dashboard. This column displays the JobSMCo/WorkOrder or JCCo/Job for the timecard line.
    • HR employee users can now approve their own crew timecard lines, if the user has approval permissions.

  • Credit Card Expenses

    • If you process expenses through AP, you can now map credit card expenses and reimbursements to different AP companies.

      • Use the new portal setting Credit Card - PRCo to APCo map override to override your current PRCo to APCo map setting specifically for credit card expenses. Setting location: Admin > Portal Settings > Expense > Credit Card.

      • For each company, enter the PR company number followed by a colon and then the AP company number for the credit card company. For example, 1:5. If you have multiple PRCo to APCo groupings, separate those groupings with a semicolon and no spaces. For example, 1:5;4:5.

Field Management Highlights

    • New portal setting Employee Group for restricted clock in/out allows you to limit the users who can select start and stop times on the mobile app (including the Offline Kiosk). Setting location: Admin > Portal Settings > Field Management Mobile > General Configuration.

      Note: Employees in this group can only clock in or out at the current time. This permission follows the assignment of the logged-in user and not each individual employee that the user might have access to.
    • The mobile app now shows total hours up to two decimal places.

  • Crew Timecards

    • HR employee users can now approve their own crew timecard lines, if the user has approval permissions.

    • On the Timecard Approval and Manage Crews pages, users can now search on the Crews drop-down.
  • Checklists [Legacy]

    • Portal settings Enable global email refresh and Global Refresh frequency were removed. Users can still distribute Checklists, but the list of recipients in the To field no longer displays.

Financial Controls Highlights

The following customer suggestions were added in this release. For a list of defect corrections, see the Issues Fixed page.

  • New permission added for Billing Compiler - Next Gen
    • On the User Access page, separate permissions are now available for classic Billing Compiler and Billing Compiler - Next Gen under the Financial Controls bundle. You can assign users to either of these modules or both of them. Users assigned to both modules consume only one Financial Controls license.

      Note: When you update to the R2 release version, users who currently have Billing Compiler access will be given Billing Compiler - Next Gen access automatically.
  • AP Invoice Review

    • When the Default Header Description to Lines on Job Type AP Company Parameter in Vista is disabled, the line item description defaults to the phase description on Job line type invoices. If enabled, the header description defaults to the line item description.

  • Billing Compiler

    • Portal setting Attachment Types to exclude from Billing Compiler (comma separated) renamed to Attachment Types to exclude from Billing Compiler - Next Gen (comma separated). Setting location: Admin > Portal Settings > Billing > General Configuration.

  • AP Check Review

    • Portal setting Restrict Available Company to the APCo matching the user's PRCo was moved from AP Check Review to General Configuration.

Vista Field Service Highlights

The following customer suggestions were added in this release. For a list of defect corrections, see the Issues Fixed page.

  • General
    • Start and end dates for multi-day trips now display on the Field Service home page.

  • Form Templates
    • When creating default assignments for a form, users can now assign all forms to a selected Assignment Type at once using the new All option available from the Assignment Value drop-down.

  • Service Manager Dashboard

    • Complete trips from the Service Manager Dashboard
      • Select the Trips button for a work order on the dashboard to see all trips made for that work order. If a trip is still open, the Trip # displays as a button. Managers can select this button to go directly to the work order, and then close the trip as usual.

    • Users can now filter by Service Center on the Service Manager Dashboard.

    • The Apply Search Filters button is now available only if you have selected a company.

    • Service Item details now include the service item, description, model number, and location.

  • Work Order Dashboard / Work Orders

    • Require a Service Site on new work orders
      • New portal setting Require Service Site When Creating Work Orders allows you to make the Service Site a required field any time users create new work orders in the portal. Setting location: Admin > Portal Settings > Field Service > General Configuration.

    • The Service Item field on the Scope page now includes the item description.

    • When adding a work completed item to a scope, users can now search or filter for service items by typing the name of an item (or a portion of the name) in the Service Item field.

    • Show work completed notes as you save them. In the portal setting SM Note Settings, if you use the Add a Date Stamp option for Work Completed Notes, a read-only Work Completed Notes section will display below the Scope Notes on the Scope page. Setting location: Admin > Portal Settings > Field Service > General Configuration.

    • Save and submit zero hour labor lines on a work order by enabling the portal setting Allow zero hour lines to be saved and submitted. This setting now applies to service lines entered in Vista Field Service. Setting location: Admin > Portal Settings > Timecard > Standard Timecard.

    • Send customers emails at scope completion instead of trip closeout. New portal setting Send the trip closeout email only when the last trip is completed allows you to send the trip complete email when the last trip assigned to the scope is completed. Setting location: Admin > Portal Settings > Field Service > Trip Close-Out.

    • File names for closed work orders and forms attached to the trip closeout email now include the trip number and technician name.
